Position Summary
The Executive Assistant role at Light & Wonder supports two senior executives in the International & EMEA Gaming Region by managing administrative tasks to optimize their efficiency and productivity. The position involves comprehensive diary management, travel coordination, meeting facilitation, and follow-up on action items, ensuring seamless executive support.
In this dynamic role, you’ll be the strategic right hand to our executives—owning their calendars, orchestrating seamless travel, and ensuring every meeting is purposeful and productive. From coordinating complex schedules and international travel to managing communications and driving follow-ups, you’ll be the glue that keeps everything moving.
Key Responsibilities:
Diary & Schedule Management
- Proactively manage executive calendars, removing or rescheduling clashes.
- Align diary entries with executive preferences and capacity.
- Ensure all meetings are accurately scheduled and communicated.
Travel & Accommodation Coordination
- Book transport, hotels, and desk reservations in line with company policy and cost-efficiency.
- Monitor critical travel bookings to prevent issues.
- Provide timely travel packs and confirmations to executives.
Meeting Facilitation
- Arrange venues, refreshments, and logistics for in-person and virtual meetings.
- Prepare clear agendas and ensure participants complete pre-meeting tasks.
- Capture and circulate meeting notes and action items, ensuring clarity and accountability.
Task & Action Tracking
- Maintain up-to-date to-do lists for each executive with clear deadlines.
- Monitor progress and chase outstanding actions from meetings and correspondence.
- Escalate unresolved items where necessary.
Internal Communications
- Coordinate the regional internal communications calendar.
- Draft and distribute internal messages on behalf of executives.
- Support on Internal Engagement efforts across the Region.
Qualifications
Essential Skills & Experience
- Proven experience supporting senior leaders in a fast-paced environment.
- Exceptional organisational and time management skills.
- Strong attention to detail and ability to anticipate needs.
- Excellent communication skills—both written and verbal.
- Confident using Microsoft Office and calendar management tools.
- Discretion and professionalism when handling sensitive information.
Desirable
- Experience in the gaming or entertainment industry.
- Familiarity with international travel coordination.
- A proactive mindset with a “can-do” attitude.
Ways of Working Expectations:
- Average of 3 days per week in office location (Spinningfields, Manchester)
- Limited travel to other offices/locations (expected at less than once per month)
- Core working hours of 9-5: Expectation to be available by phone, Teams, email (subject to meetings etc)
- Out of hours: Expectation to deal with urgent/emergency only and will be contacted by phone/WhatsApp for these purposes. Emails/Teams during this time to be actioned next morning/available opportunity.
