As an Executive Assistant at Unispace, you will play a crucial role in enabling our leadership team to perform at their highest level. You’ll provide high-level administrative and operational support to senior executives, ensuring smooth day-to-day operations and helping drive strategic initiatives forward. This role requires a blend of exceptional organizational skills, strong attention to detail, discretion, and the ability to thrive in a fast-paced, dynamic environment.
Responsibilities:
- Provide comprehensive calendar management, including scheduling meetings, coordinating appointments and proactively resolving conflicts to maximize executive productivity.
- Manage domestic and international travel arrangements, including detailed itineraries, visa processing and accommodation bookings.
- Prepare high-quality correspondence, presentations, reports and meeting materials, ensuring accuracy and professionalism.
- Act as a point of contact between executives, internal teams, clients and external partners, handling communications with discretion and diplomacy.
- Organize and coordinate internal and external meetings, including logistics, agendas and follow-up actions to ensure objectives are met.
- Support the preparation and tracking of expenses, budgets and other administrative reports in line with company policies.
- Maintain confidentiality of sensitive information and exercise sound judgment in all interactions.
- Assist in the planning and execution of company events, leadership offsites and team activities.
- Proactively anticipate executive needs, identifying opportunities to improve efficiency and effectiveness in daily workflows.
- Support special projects and ad hoc initiatives as required, contributing to a culture of collaboration and operational excellence.
About You:
- Bachelor's degree or equivalent professional training in business administration or a related field.
- Proven experience as an Executive Assistant or in a senior-level administrative support role (typically 5+ years), preferably in a fast-paced, multinational environment.
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and comfortable with digital productivity and collaboration tools.
- Exceptional organizational and time management skills, with the ability to prioritize and manage multiple tasks seamlessly.
- Outstanding verbal and written communication skills, with a professional and polished presentation style.
- High level of discretion and integrity when handling confidential information.
- Strong problem-solving skills, proactive mindset and ability to work independently with minimal supervision.
