Executive Assistant
L'Oréal is seeking a highly organized, proactive, and discreet Executive Assistant to provide comprehensive administrative and strategic support to both the Chief Financial Officer (CFO) (approximately 75% of time) and the Sustainability Director (approximately 25% of time).
This dynamic role requires exceptional organizational skills, the ability to manage multiple priorities, and a strong sense of confidentiality. The successful candidate will be instrumental in ensuring the smooth and efficient operation of both critical functions, serving as a key liaison for internal and external stakeholders.

A DAY IN THE LIFE
Support to the Chief Financial Officer (CFO) - (Approx. 75%):
- Calendar and Schedule Management: Proactively manage a complex and demanding calendar, including scheduling, rescheduling, and prioritizing meetings, appointments, and calls for the CFO. Anticipate potential conflicts and address them promptly.
- Travel Coordination: Arrange domestic and international travel logistics, including flights, accommodations, ground transportation, and detailed itineraries. Ensure all travel arrangements are seamless and cost-effective.
- Meeting Preparation & Support: Support learning agenda and meetings (both onsite and offsite) for Finance, Purchasing, and Data teams – incudes venue management, agenda crafting, and day of operations.
- Expense Management: Prepare and reconcile expense reports accurately and efficiently, ensuring compliance with company policies.
- Confidentiality & Discretion: Handle highly sensitive and confidential information with the utmost discretion and professionalism, including financial data and strategic.
- Project Coordination: Assist with the coordination of various finance-related projects and initiatives, including tracking deadlines, collating information, and preparing updates.
- Stakeholder Liaison: Act as a primary point of contact for internal departments, senior leadership, and external partners, maintaining professional relationships
Support to the Sustainability Director (Approx. 25%):
- Calendar Management: Assist with scheduling and coordinating meetings, workshops, and events related to sustainability initiatives, both internally and externally.
- Event Coordination: Assist in the planning and execution of sustainability-focused events.
General Responsibilities For Both Roles
- Prioritize tasks effectively across both leadership roles, ensuring critical deadlines are met.
- Proactively identify potential issues and propose solutions.
- Maintain an organized and efficient administrative filing system (both digital and physical).
- Assist with general office management tasks as needed.

Who You Are

Secondly, in this specific position, it will be important for you to have:
- Education: Bachelor's degree preferred, or equivalent practical experience.
- Experience: Substantial progressive experience as an Executive Assistant supporting senior-level executives, preferably in a fast-paced, multinational corporate environment. Experience supporting a CFO or similar finance leader is a significant asset.
Technical Skills
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) is essential.
- Familiarity with collaboration tools (e.g., Microsoft Teams, Google Workspace) and virtual meeting platforms.
- Ability to quickly learn and adapt to new software and systems.
