Purpose of the Role
This is a hybrid role — combining elements of senior executive support, Chief of Staff, business operations coordination and culture/office management. The purpose of the role is to provide seamless support to the CEO, while driving and improving internal communications, culture and operational allignment across the Company as we enter into a period of high growth. The candidate needs to have intelligence, initiative, the ability to think strategically and emotional maturity whom is not worried about pitching in to get things done.
🎯 Key Responsibilities
1. CEO & Board Support
- Act as a trusted right hand to the CEO
- Provide light-touch board support — including acting as the glue between the CEO and the Chairman, helping coordinate actions, agendas, and ensuring that follow-ups and actions are completed in a timely manner
- Own diary and inbox management in a fluid, travel-heavy environment
- Ensure all CEO follow-up is done, proactively driving next actions for and on behalf of the CEO
- Be an additional point of interaction between the CEO and clients as and when appropriate
2. Travel & Logistics
- Manage complex international travel itineraries (often last-minute or in challenging regions)
- Book accommodation, transport, venues, and logistics for the CEO and other team members on an as needed basis
- Develop and implement a company-wide travel policy
3. Operations & Office Organisation
- Bring order to digital and physical file structures, document libraries, archives, and shared drives ensuring that they are accessible and kept up to date
- Manage IT support providers, mobile phone providers, and other key vendors
- Improve the general feel and function of the office (currently hybrid/remote, but needs love)
- Help organise company materials, org charts, and internal systems and standardise branding for all materials
4. Culture & Communication
- Play a role in shaping a cohesive and aligned internal culture
- Act as a cross-functional bridge: liaising with tech, comms & PR, sales, finance, and HR
- Help organise internal meetings, offsites, and gatherings
- Be the “glue” that helps the company feel more joined-up

Must Have:
- Outstanding organisation and IT skills
- Outcomes focused
- Self Starter
- High level of emotional intelligence and excellent communication skills
- Experience working closely with founders or senior execs
- An understanding of the demands of an SME business and prepared to pitch in across the business
- Resourceful and able to work autonomously with the judgement needed to assess when matters can be progressed and when consultation is required
- Able to diary CEO tasks and ensure that matters are responded to in a timely manner
- Professional, composed, and culturally attuned
- Fluent in English; ideally also French and Spanish (bonus: Dutch, Portuguese, Arabic, or Japanese)
- Comfortable liaising with multiple departments, contractors, and stakeholders
Nice to Have:
- Background or interest in international trade, global development, technology or sustainability
- Internal or external comms experience
- Experience in a startup, high-growth, or mission-driven SME environment
- Project management exposure or systemisation/process design experience
