The Role:

The Finance & Operations Manager is responsible for supporting the Partners-in-Charge (PiC) with the smooth and efficient running of our Belgium and Netherlands office locations. Key responsibilities include Finance business partnering, financial compliance and stewardship, financial operations and oversight of facilities operations. The position liaises with the regional Finance leads, Global Business Services (GBS), IT, Legal, Marketing and Human Resources departments, and with 3rd party financial services providers.

Based in Europe (ideally London), but with a suitable frequency and duration of travel to the relevant countries is expected.

Responsibilities:

Financial Operations:

• Input and control of all local Accounts Payable: Liaison with global AP department and point person locally for queries and procedure clarifications; Problem solving for related transactions (internal and external); ensuring prompt and reliable processing of supplier invoices,
• Monitor the progress of aged Debtor control, provide insight and assist with issue escalation. Day to day debtor management is the responsibility of search team consultants and executive assistants,
• Review and approve of all candidate and employee T&E expense claims within the company approval framework,
• Ensure submission of accurate month-end accruals to as part of month end process,
• Develop strong understanding of the core financial end to end processes (order to cash, procure to pay, record to report, payroll). Work with Finance Director to identify process weaknesses and improvements with the aim of process speed with appropriate level of control.
• Assist, motivate, develop and train all relevant members of the local team as needed – eg for centralized Billing processes, and other company processes.

Financial Business Partnering:

• Providing support to local leaders, including preparation and presentation of monthly financial information to ensure understanding of financial performance, financial support for decision making,
• Support Regional Finance Director with the preparation of annual budget and forecasts,
• Assist Regional Finance Director with improvement to processes, in their design and their implementation,
• Coordinate with Human Resources Business Partner on employee relations matters

Statutory reporting, tax compliance, financial stewardship:

• Provide financial information to external parties for preparation and filing of VAT returns and other tax filings,
• Ensure compliance with local tax regulations, accounting standards, and company policies. Coordinate with auditors and manage audits to guarantee adherence to these rules,
• Assist Global accounting team in annual statutory filings and other government submissions, and assist on audit queries,
• Month end duties including bank recs and monthly review of accounts with variance and trend analysis to ensure completeness and accuracy.

Facilities Operations:

• Support local leaders, Global Real Estate team and other Corporate departments in office moves, real estate and leasehold topics - as needed,
• Point of contact for Landlords (office access, office maintenance/cleaning & other office management functions) and Travel Agency/Airline,
• Vendor management - ensuring best contractual terms, agreements up to date, and within Group policy,
• Partner with Corporate IT staff to ensure equipment and technology needs are addressed including but not limited to managing internet and mobile phone accounts.

Required Qualifications/Experience:

• Degree in Finance, Accounting, or related field of study.
• ACCA/ CGMA / CPA qualified
• 5-7 years of experience in a combination of finance, accounting, and office management.
• Proven ability to collaborate effectively with cross-functional teams and senior leadership.
• Experience with preparation of month end accounts, transaction processing, audit and tax filings.
• Highly developed communication and presentation skills.
• Strong Microsoft Excel skills.
• Demonstrated track record of process improvement within a Finance organization.
