Job Description
We are looking for a proactive and detail-oriented Finance Assistant to join our growing Finance team at ACT. This role is essential in supporting day-to-day financial operations, with a particular focus on managing supplier invoices, credit card transactions, and expenses in a construction environment. You’ll be working across both Xero and Construction Manager systems to ensure accurate processing and reporting, playing a key role in maintaining financial integrity as we scale.
Job Requirements
- Minimum 2 years’ experience with Xero.
- Proven experience in a finance or accounting support role within the construction industry, including knowledge of CIS Tax and VAT.
- Solid understanding of double-entry bookkeeping.
- Strong numerical and analytical skills.
- Proficiency in Microsoft Excel (intermediate to advanced level).
- Excellent written and verbal communication.
- Strong organisational skills with an ability to manage multiple priorities and meet deadlines.
Job Responsibilities
- Accurately process purchase invoices, matching to POs and seeking appropriate approvals.
- Review and verify employee expense claims, progressing them through the approvals and payment process.
- Record and reconcile company credit card and expense debit card transactions in a timely manner.
- Perform monthly supplier statement reconciliations and assist with payment scheduling.
- Conduct credit card reconciliations, ensuring all entries are recorded accurately.
- Maintain and update financial records, databases, and Excel-based tracking systems.
- Monitor and report on overhead expenditure; assist in preparation of monthly budget and cost reports.
- Generate ad-hoc reports and support the wider finance team with analytical tasks.
- Manage the Finance shared mailbox, responding to internal and external queries.
- Provide audit support by organising and submitting requested documentation.
- Ensure compliance with financial controls, company policies, and relevant HMRC regulations (e.g. CIS and VAT).
- Carry out general admin duties to support smooth departmental operations.
