The Opportunity

As the Global Mobility Operations Specialist you will play a crucial role in supporting the operational efficiency by managing various administrative tasks, maintaining essential records, and documenting processes. This position is responsible for creating and maintaining assignment letters, balance sheets, cost estimates, and compliance evaluations, as well as handling tax and payroll records. The specialist will also assist with one-off requests, such as reporting, to ensure smooth operations within the team. Additionally, the GM Operations Specialist will focus on streamlining GM processes to enhance efficiency and remove complexity, improve service delivery, and update local processes into global processes.

This position reports into the Global Mobility Specialist and sits within the Human Resources Global Mobility team.

This position is based in London, UK.

Key Responsibilities

  • Providing support to the Global Mobility team in preparing documentation required for tax, social security, and immigration compliance. Assisting with tax return processes, monthly payroll activities, and annual payroll events such as Short-Term Incentives (STI), Long-Term Incentives (LTI), share plans, and merit increases.
  • Generating and sharing reports out of Global Assignment Management System and monitoring and updating the system as required.
  • Creating assignment package documents such as Assignment Letter, Balance Sheet and Cost Estimate. Ensuring prompt payment of all invoices, keeping records, raising purchase orders and flagging any discrepancies with the relevant parties.
  • Support project related administrative tasks
  • Delivering Global Mobility BAU processes and administrative tasks and collaborating with team members to document Global Mobility processes.

Essential Knowledge & Experience

  • Strong numeracy and Excel skills.
  • Highly organised and able to prioritise workload to manage deadlines.

Preferred Experience

  • Fluency in Japanese is highly desirable.
  • Previous Global Mobility/HR experience.
  • An understanding of the assignment lifecycle and typical assignment pay structures.
  • Exposure to monthly assignee payroll processes.
  • Experience of using an assignment management system or HRIS.

Additional Information

  • This is a permanent full-time position.
  • This position is based in the UK
  • This position follows our hybrid working model. Role requires a blend of home and a minimum of 1 day per quarter in our local office. Flexibility may be required in line with business needs. Candidates must be located within a commutable distance of the office.
