Job Overview

The primary role of the Gynaecology Department Receptionist is to serve as the first point of contact for women and their partners attending the hospital. This position provides a comprehensive reception service, including warmly welcoming and assisting all patients at the clinic reception area. The receptionist will offer a high standard of administrative support to the clinical teams, ensuring accurate registration and maintenance of computerised patient records.

Key responsibilities include managing patient queries with sensitivity and professionalism, supporting the organisation and preparation of outpatient clinics, and contributing to the smooth running of clinic operations. Effective communication and teamwork are essential, requiring close liaison with clinical and administrative staff to meet departmental targets and provide a supportive environment for patients.

Main duties of the job

  • To accurately receive and check women in and out of clinic using the relevant computer systems
  • To participate in the preparation and the running of the reception and cross cover other reception areas within the division when required
  • To answer telephone enquiries from patients, medical staff and other hospitals, dealing with enquiries in a professional manner and referring to the relevant person where necessary
  • To prepare clinic notes ensuring all relevant documentation is included
  • To send appointment letters to patients ensuring information is accurate
  • To deal with patient cancellations in accordance with the Patient Access Policy.
  • Taking responsibility for the tracing in and out of medical records
  • To ensure all outcome forms are completed on the PAS system
  • To be responsible for restocking stationary, ensuring order forms are signed by the Senior Administrator
  • To provide annual leave and sickness cover as required
  • To undertake any other duties appropriate to the post as agreed by the Senior Administrator
