Job Opportunity: Waiting List Coordinator – Gynaecology Department

An exciting opportunity has arisen for a Waiting List Coordinator to join our dedicated team in the Gynaecology Department. This is a full-time, 12-month fixed-term position, ideal for someone with strong organisational skills and a passion for patient care.

About The Role

As a Waiting List Coordinator, you will play a vital role in supporting patients throughout their treatment journey. You will be responsible for coordinating and booking pre-operative assessments, surgical procedures, and diagnostic appointments in a timely and efficient manner.

What We're Looking For

We are seeking a kind, empathetic, and patient-focused individual who understands the importance of clear communication and compassionate care. You should have:

  • A sound understanding of Referral to Treatment (RTT) pathways
  • Familiarity with the BNSSG (Bristol, North Somerset & South Gloucestershire) Policy
  • Excellent teamworking skills and the ability to work collaboratively in a fast-paced environment
  • The ability to manage competing priorities and work under pressure

Working in Gynaecology, you will be part of a supportive and committed team, helping ensure that patients receive timely and effective care.

Main duties of the job

  • To maintain consultant theatre diaries, selecting appropriate case mix in chronological order, acknowledging clinical priority.
  • To co-ordinate admission and associated preoperative assessment clinics, ensuring all key staff are aware of organisational arrangements.
  • To act as a contact point, liaising with patients, relatives, medical representatives, GP’s/other hospitals, nursing staff, surgical team, and support services
  • To record performance of additional capacity to meet demand/shortfall in elective capacity.
  • To liaise with consultants and other staff regarding annual leave and other absences, to ensure operating lists are appropriately booked and closed if necessary.
  • To manage the waiting list of a group of consultants using Careflow (in house system), in accordance with the BNSSG Access Policy
  • To be aware of maximum waiting time targets for patients and monitor the Patient Target List (PTL) on a daily basis to ensure Government Access Targets are not breached.
  • To use databases and/or other systems as appropriate to maintain, record and monitor information.

Detailed Job Description And Main Responsibilities

  • Managing the waiting list for a team of Gynaecology Consultants, coordinating admissions and preoperative assessment clinics, theatre lists and diagnostic lists.
  • In this role, the staff member is required to liaise with hospital medical staff, other departments, GP’s, patients and the general public.

Work with the clinical team to ensure theatre lists are utilised and patients are treated in a timely manner to meet the RTT standard.

Experience

Essential criteria

  • Previous NHS experience in an administration role
  • RTT and Waiting List Experience

Desirable criteria

  • Experience of in house IT systems
