The Vacancy
As a HR Admin Assistant at DLR you will provide professional and pro-active HR assistance and generalist support to the site whilst maintaining confidentiality and sensitivity; ensuring employee matters are dealt with professionally and efficiently.
Your day to day activities will include -
- Monitoring live cyclical and CAT B security checks for all employees for an effective turnaround time in clearance, updating all relevant documents to our HR Systems once cleared.
- Managing the recruitment activity working closely with respective management and third parties to shortlist applicants and schedule interviews.
- Prepare or support in processing offer letters/contracts for any changes to employee terms & conditions of employment e.g. flexible working, change of job role, shift changes, etc.
- Based on advice from the Lead HR Business Partner or HR Advisor coordinate and arrange new starter onboarding ensuring the necessary paperwork is sent ahead of the joining date.
- Process recruitments via the Recruitment platform for seamless integration and data capture. Full recruitment lifecycle must be via the Recruitment Plus.
- Ensure that all employee records, on the system, e-file and hard copies of employee information are up to date and compliant with the company’s audit requirements.
- Maintain HR systems including Synergy, the Time and Attendance System and Recruitment+.
- Rectify daily anomalies through the Time and Attendance System as well as inputting weekly overtime.
- Check and validate weekly timesheets for Agency employees. Raise invoices against the weekly purchase orders (POs) in a timely manner.
- Actively participate in HR meetings and special projects as required.
- Manage weekly Occupational Health review scedules and keep all results updated on the system.

Essential
CAPABILITY (qualifications, experience and skills)
- Good attainment of GCSE’s or equivalent including English and Maths
- Excellent written and verbal communication
- Ability to maintain confidentiality at the highest level and be assertive, yet professional in dealing with various requests
- Organised with the ability to manage and prioritise a challenging and busy workload, excellent attention to detail and ability to work independently
- Solution orientated with a Team Player Attitude
Desirable
- Unionised experience
- Previous experience in working with HR Information Systems and Time Management Systems
- Educated to A Level + or equivelant
- CIPD Level 3 or reading towards
- Previous manufacturing experience and understanding of shift working is advantageous as is previous administrative experience within HR environment.
