Description
Reporting to the HR Manager, the Administrator role is central to the smooth operation of the HR service.
The role could be based at any of our Oxfordshire offices, and could be a hybrid role with some home working time.
This role is 16 hours per week.
Administration
Support the HR Manager in the management of the HR / recruitment mailboxes.
Create and maintain filing systems in accordance with the organisation's systems and procedures.
Using agreed templates to respond to recruitment queries.
Set up electronic Induction folders for all New Starters, (Paid, Volunteer and Trustee)
Contact nominated referees for all New Starters references .
Send out Exit interview questionnaires to any Leavers and book Exit Interviews.
Assist with the preparation of employment contracts and contractual changes letters and ensure filed appropriately within individual personnel files.
Assist with maintaining central staff and volunteer records, including setting up individuals on the external HR system, calculating leave entitlement
Act as note taker for some personnel meetings as required
Support the volunteer recruitment team with the management of enquiries from prospective new volunteers.
Scan documents as required and file electronically
Other
Attend and represent CAOX at recruitment events as appropriate
Carry out any other tasks within the scope of the post to ensure the effective delivery and development of the service.
Essential Criteria
Understand the need for, and maintain confidentiality
Ability to write clearly and accurately, communicate effectively face to face and on the phone.
Ability to manage a varied workload, prioritise and meet deadlines under pressure.
Ability to maintain efficient administration systems with attention to detail and demonstrable ability to maintain accurate, up to date records
Ability to take a brief, ensure the task is understood and then work independently.
Ability to use IT effectively to produce documents, presentations and spreadsheets. We currently use a hybrid of Google Workspace and apps and Microsoft Office.
Self motivated and able to work independently
Willingness and desire to develop new skills through training and development
