Job Purpose
To provide systems, administration support and professional guidance to employees and managers in matters relating to policies/procedures; employment legislation; employee relations, recruitment, performance management, training and development and organisational design.
Role Responsibilities
Supporting the HR Manager and Site Management to deliver on engagement, performance excellence, manager effectiveness in the provision of the following areas:
Employee Relations & Support
- Provide first-line HR advice on all employee relations issues including for example; absence, disciplinary and grievances, capability and performance
- Manage and track all casework from start to finish
- To ensure best practice and consistency in line with company procedures
- Reviewing and updating and implementing policies and processes as required
Performance Management
- Provide line managers with advice on managing performance and the performance management cycle in line with Smurfit WestRock expectations and local site agreements
- Provide administrative support to the pay review process in line with the Smurfit WestRock compensation and benefits model
Recruitment, Selection & Onboarding
Responsibilities
Partner with the Talent Acquisition specialist in recruitment of various roles, and be responsible for the recruitment and selection of employees including:
- Providing administrative support to the recruitment process, including raising e-forms, issuing new joiner paperwork such as terms and conditions of employment, completing right to work checks, organizing onboarding and conducting inductions
- Preparation of job descriptions and Recruitment Justifications
- Short listing where required and organising the appropriate selection method
- Conducting Interviews / Tests / Assessments
- Taking up references, drafting offer letters and issuing terms and conditions of employment
HR Systems
Ensuring the accurate processing, provision and maintenance of data and systems including:
- Managing HR Data systems (including new employees, changes to existing employees and leavers)
- Ensuring data integrity & accuracy
- Compliance with GDPR and appropriate best practice regarding confidential information
- Monitoring absence and providing data to payroll
- Preparing HR KPI’s for HR Manager with relevant actions and improvement initiatives
- Maintaining employee personnel files and records
Talent Management
Supporting The HR Manager In
- Facilitating the identification of training needs, assisting with designing training programmes and implementation of plans including statutory training
- Advising managers and supervisors on training issues
- Arranging and delivering training
- Setting up and managing the in-house training programmes, maximizing grant and training levy opportunities
- Monitoring key dates around apprenticeships, probation and other employee lifecycle milestones, escalating where necessary for key actions
Health & Wellbeing
- Support initiatives to improve wellbeing and engagement
- Provide support to the H&S Manager and team in relation to health, safety and wellbeing at work
Knowledge, Skills, Experience
- Minimum of 2 years in a similar HR role
- Good verbal and written presentation/communication skills
- Knowledge of current employment law
- IT Literate in use of Microsoft Office
- Exposure to a unionised environment is desirable
- Demonstrable evidence of information handling ability and problem-solving skills
- Ability to organize and plan
- CIPD qualified minimum level 3, ideally level 5
