HR Project & Systems Coordinator
Fixed-Term Contract (6 months initially, potential to go permanent)
Salary: £34,000-£35,000 per annum (DOE)

The Role
You’ll be at the heart of rolling out our new HRIS platform — UKG Ready — across modules including Core HR, Time, Learning, Compensation, Performance, and Recruiting. This role is about precision and progress in a fast-paced, time-critical environment: working hands-on with data migration, manipulating and validating large datasets, and supporting UAT testing to keep delivery on track. At the same time, it’s about bringing curiosity and ideas to the table — spotting smarter ways to improve processes as we build, learning quickly, and helping deliver an HRIS to the project timeline that will shape how 700+ colleagues across the globe experience People services.
Role Responsibilities
Project Coordination
- Keep project timelines, logs, and documentation accurate and up to date.
- Organise meetings, track actions, and ensure follow-up happens.
- Prepare concise project updates for stakeholders.
System & Data Support
- Cleanse, validate, and manipulate HR data for migration and reporting.
- Upload and maintain large datasets with precision and attention to detail.
- Use Excel and other tools to analyse, transform, and prepare data.
- Contribute to training materials and go-live readiness.
LMS & Ongoing Development
- Manage Learning Management System (LMS) user access, enrolments, and accuracy of data.
- Maintain records for joiners, leavers, and organisational changes.
- Explore new LMS solutions and contribute to how learning is delivered.
- Map out clear, practical instructions and processes for managers and employees.
Configuration & Testing
- Support system setup across workflows, forms, and permissions.
- Prepare and run UAT, tracking issues through to resolution.
- Validate functionality against business requirements.
- Manipulate and test data to ensure accuracy.
- Identify usability gaps and suggest improvements.
Essential Skills & Experience
- Exceptional communication skills - articulate and professional in both written and spoken English, able to convey complex information clearly and confidently.
- Proven HR systems expertise - hands-on experience beyond recruitment platforms, with the ability to quickly master new system navigation and functionality.
- Advanced Excel proficiency - confident in using VLOOKUP and other advanced functions to manipulate, analyse, and present data effectively.
- Analytical mindset with precision - able to work with large and complex data sets, drawing insights while maintaining absolute accuracy.
- Outstanding organisational ability - highly structured, able to manage multiple priorities simultaneously, and skilled at keeping projects on track.
- Thrives under pressure - comfortable in a fast-paced environment, delivering high-quality work quickly and accurately.
- Ownership and accountability - proactive, self-driven, and able to work independently while ensuring deadlines and commitments are met.
