Job Overview:
To be the first point of contact for all HR related enquiries. Ensuring accuracy, initiating processes and data updates linked to the employee life cycle on the HR System (Workday). Assisting and signposting managers and employees to relevant company policies, procedures and information. Responsible for compiling HR related documentation and correspondence including contracts and amendments to T&Cs.
Work collaboratively with the wider HR Team / key stakeholders to provide administrative support, reporting and data for HR Projects and Initiatives as required.
Responsibilities, Accountabilities and Duties:
- Being the first point of contact for employees and managers for general HR related matters.
- Signposting HR matters to the relevant support where escalation is required.
- Responsible for the administrative elements of the employee lifecycle including but not limited to; creating contracts and inductions, updating and maintaining Workday data source, changes to T&C’s and arranging exit interviews, termination process and reference requests
- Coordinating and presenting the HR induction to new employees for a positive onboarding experience, while ensuring that necessary and relevant documentation is completed.
- Maintain sickness absence records, highlighting trigger points where appropriate and coordinating the organisation of absence review meetings. Providing HR support to leaders at meetings and investigations when required.
- Supporting the HR Team and line managers with ER related matters where required.
- Producing and circulating employee/business related communications.
- Administration of workplace related liability claims.
- Producing reports from the HR system and providing statistical information upon request
- Providing the wider HR Team with administrative support and preparing correspondence for company initiatives i.e., pay review/bonus where required
- Pro-actively suggesting and implementing new ways of working to support the smooth running of the department.
- Maintaining employee personnel files ensuring compliance with GDPR regulations.
- Responsible for liaising with the IT Team for system matters relating to employee data and access.
- Ensure the HR SharePoint Portal is updated and maintained accordingly.
- Support with the administration of third-party providers i.e. DSE, Employee Benefits and Occupational Health, Employee Assistance Programme ensuring that all records are accurate
Experience / Knowledge:
- CIPD Level 3 (or commitment to work towards)
- Knowledge of HR processes
- Experience in using HR Systems/database (Workday desirable)
- Strong ability in using MS Office Packages (excel in particular)
- Previous experience or knowledge of Office 365 and Sharepoint desirable
