Job Description
We are currently seeking a HR Operations Administrator who will report to the HR Operations Manager based in London. This is a full-time, 6-month fixed-term contract.
Your Opportunity
As part of the Kering HR Shared Services team, this role provides operational HR support to the luxury Houses across Kering UK & Ireland. The HR Operations Administrator is responsible for delivering day-to-day HR services, working closely with House HR and management teams to ensure consistent and high-quality operational support.
How you will contribute
- Ensure a high standard of accuracy, efficiency and service excellence across all Brand interactions.
- Review, prepare and issue all employee lifecycle transactions in the HR tool Workday, including hires, job changes, contract updates, terminations, and personal data changes. Ensure accuracy and compliance with Brand-specific guidelines at all times.
- Prepare and issue employment contracts adhering to the appropriate Brand and job classification, ensuring alignment with Workday data and benefit guidelines.
- Prepare and issue all relevant onboarding materials and track the timely return of signed documentation.
- Liaise with the payroll team to ensure all hires, changes, payments, and leavers are completed prior to payroll deadlines.
- Create electronic personnel files, ensuring accurate documentation is securely stored and archived.
- Issue probation confirmation letters for all Brands in a timely manner.
- Ensure verified and valid Right to Work documents have been received and recorded in line with legislative requirements, prior to issuing contractual documentation.
- Provide accurate employment reference letters.
- Respond to employee and stakeholder queries via the Kering Connect ticketing system within agreed service levels.
- Consistently demonstrate a proactive, solution-oriented approach to HR service delivery.
- Support HR Operations Manager with any audit information requests.
- Produce ad-hoc reports and analyse the data when requested.
- Produce monthly reports regarding employee data.
- Project Support: Support with ad-hoc local and global projects.
Who you are
- Experience in HR administration across the employee life cycle
- Strong interpersonal, communication (written and verbal) and presentation skills
- Excellent customer service standards
- Experience of Workday highly desirable
- Organised and able to prioritise, with excellent accuracy and attention to detail
- Able to work well under pressure and towards tight deadlines
- Proactive and curious - ability to identify improvements in processes or activities
