Description
We are looking for a proactive EA to provide high-quality dedicated support to Partners, Solicitors, and the broader Legal Team. This role goes beyond traditional administrative assistance, offering a combination of high-level EA support and specialist legal administrative duties. This role will offer hybrid working but will require some time split across both our City and West End offices
Key Responsibilities
- Prepare, format, and type legal documents, correspondence, reports, and proposals.
- Manage diaries for Partners and the team, including scheduling meetings and booking rooms.
- Arrange client meetings, including coordinating catering where required.
- Handle incoming calls, take accurate messages, and manage communications in the absence of relevant individuals.
- Liaise directly with clients, ensuring professional and efficient communication.
- Some typing.
- Oversee client onboarding and anti-money laundering (AML) procedures, including conflict checks, Letters of Engagement, and client set-up forms.
- Draft initial client correspondence for review by Partners.
- Handle document management, including scanning, filing, and distributing post.
- Manage legal document execution, including Will binding and electronic signature processing via PDF, Kofax, and Adobe Sign.
- Update client records, team leads, and opportunities in Fibre CRM.
- Prepare bills and expense reports.
- Coordinate travel and accommodation for Partners (both domestic and international).
- Process client account payment forms and liaise with the accounts team regarding received payments.
- Provide general administrative support to the legal team as required
Skills, Knowledge & Expertise
- Proven experience supporting legal professionals as an Executive Assistant, or similar role.
- Understanding of legal regulatory requirements, including AML, SRA, and Solicitors’ Accounts Rules.
- Excellent organisational and time management skills; flexible with the ability to manage multiple priorities efficiently.
- High proficiency in Microsoft Office (Word, Excel, Outlook, and PowerPoint) and Fibre CRM.
- Strong academic background (A-Levels or equivalent preferred).
- Strong communication skills, both written and verbal, with a professional telephone manner.
- Typing speed of at least 50 wpm with ability to format reports, spreadsheets and presentations.
- Proactive approach, with a keen interest in the firm’s clients and business.
- Ability to work independently while also providing effective support to the wider team.
