Legal Executive Assistant in Property and Real Estate

Annual Salary: 40-45k
Location: Mayfair, London
Job Type: Full-time

My client is seeking a skilled legal Executive Assistant with experience in Real Estate to join their prestigious law firm. This role is crucial in providing administrative and organisational support to fee earners, ensuring the delivery of smooth and efficient legal services.

Day-to-Day of the Role

Open new files and conduct conflict checks in accordance with firm procedures.
Draft and prepare legal documents, including sale contracts and leases, and manage document execution via DocuSign.
Organise and electronically file legal and court documents, ensuring compliance with deadlines.
Schedule court hearings, depositions, and meetings, managing multiple diaries to ensure timely reminders and deadline compliance.
Liaise with courts, counsel, agents, and other external parties to progress matters.
Draft financial statements and completion statements, monitor work in progress, and liaise with accounts regarding billing and payments.

Manage third-party and vendor invoices, including processing and submission.

Handle Land Registry registration applications and conduct necessary searches.

Assist with document bundling, audio and copy typing, and maintain high standards in all communications.

Proactively manage ongoing matters, prioritise urgent tasks, and ensure efficient progression of cases.

Maintain accurate electronic filing systems and uphold professional standards in all interactions.

Skills & Qualifications

Minimum 3 years of experience as an Executive Assistant within Real Estate and Litigation legal environments.
Strong understanding of legal court forms and procedures.
Excellent typing skills with a minimum speed of 50 words per minute.
Proficiency in Microsoft Office suite (Word, Excel, Outlook).
Outstanding communication skills, both written and verbal.
Ability to prioritise tasks effectively and meet tight deadlines.
High level of confidentiality, integrity, and professionalism.
Ability to work collaboratively as part of a team.
