Job Overview:
We are looking for a Lettings Supervisor to support and work closely with the Lettings Area Manager in managing the day to day operations of the lettings team. The ideal candidate will be motivated, organised, and confident in taking accountability for ensuring compliance is always up to date, documentation is executed in a timely and accurate manner, and the team is supported effectively. A strong focus on delivering exceptional customer service and building lasting relationships with landlords and tenants is essential, alongside a solid understanding of current and upcoming lettings legislation.
Key Responsibilities:
- Team Support & Leadership:
- Support and supervise the lettings team on a daily basis.
- Provide guidance, training, and mentorship to team members to help them meet performance targets.
- Act as a first point of contact for any internal queries or escalations.
- Compliance & Legal Awareness:
- Ensure all lettings activities and processes comply with relevant legislation and internal policies.
- Keep all documentation, records, and systems up to date and audit-ready at all times.
- Maintain strong awareness of current and upcoming legislation, ensuring changes are implemented swiftly and effectively.
- Process & Documentation:
- Oversee the preparation and execution of all tenancy-related documentation, ensuring accuracy and efficiency.
- Monitor and manage workloads to ensure documentation and tasks are completed within required timeframes.
- Customer Service & Relationship Building:
- Deliver and maintain a high standard of customer service across the lettings function.
- Build and nurture strong, professional relationships with both landlords and tenants.
- Handle any complaints or issues professionally and effectively to resolution.
- Working with Management:
- Work closely with the Lettings Area Manager to support operational planning and performance reviews.
- Contribute to the development of processes that improve efficiency and service delivery.
Key Skills & Experience:
- Proven experience in a residential lettings role, ideally with team leadership or supervisory responsibility.
- Excellent understanding of lettings legislation and compliance requirements.
- Strong organisational and time management skills with high attention to detail.
- Confident, professional communication skills, both verbal and written.
- A proactive, driven, and accountable mindset with the ability to work under pressure.
- Strong customer service focus with a problem-solving attitude.
- ARLA qualification is advantageous but not essential.
- Proficient in lettings software/CRM systems and Microsoft Office.
