Key Responsibilities
This is an exciting opportunity to join our centralised team to provide crucial administrative and co-ordination support to our on-site maintenance teams. The role will ensure the smooth operation of the maintenance department by organising work orders, scheduling external contractor resources and acting as a centralised point of contact for initial maintenance-related matters. Key responsibilities will include:
- Serving as the primary point of contact for the onsite maintenance teams and contractors.
- Handling the purchasing of necessary maintenance supplies, materials and equipment for the onsite maintenance personnel.
- Assisting with the management and tracking of the maintenance budget.
- Liaising with and managing external contractors and service providers, ensuring the relevant H&S paperwork is in place for any required site attendance (including RAMS and permit to works)
- Daily maintaining of the Yardi platform to ensure all outstanding jobs are allocated, escalated, reviewed and signed off and the system reflect real time logistics.
- Ensure accurate information is provided on the work orders submitted to external vendors.
- Raising and scheduling contractor visits for planned or emergency maintenance.
- Organise specialist contractor visits to the sites as and when the in-house maintenance operative is unable to seek a resolution.
- Oversee the invoice process, ensuring accurate POs are raised and sent to vendors promptly, to enable quick arrangement of site attendance.
- Approve vendor invoices once works have been completed and signed off by site team.
- Provide administrative support for management of PPM and cyclical works.
- Ensure excellent customer liaison and be consistent with regular communication to residents in line with our service standards.
Skills, Knowledge And Expertise
- Knowledge of residential buildings and experience in property and facilities maintenance.
- An understanding of the types of maintenance services being managed (mechanical, electrical, fabric) would be beneficial.
- Strong organisational skills and attention to detail.
- Ability to prioritise and manage multiple tasks and schemes within a fast-paced environment.
- Excellent customer communication skills, both to internal and external customers.

The standard default full-time working hours in the office are 8am-5pm with core working hours 9am-4pm.
