Description
We are seeking a proactive and highly organised Maintenance Coordinator to deliver the smooth running of our retail estate across all our estate. This role is essential in ensuring our stores operate in safe, well-maintained environments that meet both operational needs and brand standards. You will act as the first point of contact for day-to-day maintenance issues across the retail estate and work closely with internal teams and service providers to deliver a high standard of service and compliance.
This role plays a critical part in maintaining business continuity, reducing operational downtime, and enhancing the customer and colleague experience. A key part of this role will be the transformation of the department and management system including introducing a new CAFM system and onboarding this significant change.
Key Responsibilities
Reactive Maintenance
- Manages the process, from end to end, developing job logging and reporting output, ensuring suitability meeting business requirements.
- Service desking maintenance issues raised throughout our global retail estate.
- Triaging issues to gain deeper understanding to be identify a suitable contractor to quote for works.
- Scheduling engineers to carry out planned and reactive maintenance.
- Ensure stores are fully informed as to the status of their works.
- Building and maintaining relationships with new/existing suppliers
- Negotiating and reviewing all costs to obtain the most economical and effective solution for the business.
- Maintenance jobs are completed within an appropriate timescale.
- Keeping the log up to date to be able to provide real time status updates as and when requested.
- Captures all costs incurred and builds dashboards to be able to report back to the business
- Liaise with all stores and contractors to ensure all works are carried out effectively and in a timely manner.
Compliance
- Identify business legal requirements testing for electrical components.
- Relationship/tender process with third party providers.
- Maintenance of compliance files and records ensuring stores globally are able to access current certification and reports.
Health and Safety Compliance
- Identify business legal requirements for HS & FR actions; ensuring all required works are completed in-line with timeframes set in HSA/FRA’s.
- Understand and document risk areas for the business that need addressing for legal compliance.
- Responsible for ensuring stores are competent at completing risk assessment; working with L&D to track / deliver training.
Manages Self And Others
- Seeks opportunities and initiates own development whilst maintaining positive cross functional and external relationships
- Identifies process opportunities for improving efficiencies and supports system developments and improvements.
Budgets
- Approvals up to agreed thresholds; submitted timely and challenges where appropriate. Ensures we retain within budget.
- Works with the Head of Retail Operations to produce annual budget.
We Would Like To Meet Someone Who Is
- Proven experience in facilities management within a multi-site retail, leisure, or hospitality environment
- Strong track record of managing contractors, compliance, and budgets
- Knowledge of statutory building and workplace compliance
- Excellent organisational and project management skills
- Strong commercial acumen and supplier management experience
- Familiarity with utilising, onboarding CAFM systems and reporting tools
- Clear communicator with strong stakeholder engagement abilities
- Understanding of office facilities, utilities, and wider property function including International markets.
