Event Marketing Coordinator

Overall Purpose of the Role
CNNIC Events Team is seeking a highly organized and detail-oriented Event Marketing Freelancer to support administrative tasks ahead of a new event series launching in November. Key responsibilities include:
- Managing guest list data of up to 10,000 contacts for events hosting 200–300 attendees.
- Coordinating event communications using the SplashThat platform, including sending invitations, RSVP reminders, and follow-ups according to an established timeline.
- Coordinating speaker accommodation and travel
Aside from the November event series, there are three other events in Q4 that will require additional admin support.
Areas of Responsibility:
Guest List Management
- Work with Senior Events Executive to manage and consolidate large guest lists from various teams internally and externally
- Oversee two event webpages – one is a private Invite-Only event webpage, and the other is Apply-to-Attend webpage, which will have a separate guest list that needs to be monitored, reviewed and approved on a weekly basis
- Maintain accurate and up-to-date guest list contact records according to WBD Privacy Policy
Event Communications
- Use event marketing platform SplashThat to schedule and deploy email campaigns including but not limited to event invitations, RSVP reminders, announcements and surveys, according to event timelines
- Monitor RSVP responses and engagement metrics, providing regular updates to stakeholders
- Provide bi-weekly slide summarising RSVPd guests by job title, industry, geolocation
Stakeholder Coordination
- Serve as the point of contact for internal teams contributing to guest lists or requiring updates on invite status
On-site event assistance
- Manage event registration scanning guest QR codes and handing out delegate packs and name badges
Post-Event Engagement
- Distribute post-event surveys and thank-you emails
Speaker Travel & Accommodation
- Liase with speakers and the hotel to coordinate room nights needed + requirements for airport transfers
General admin responsibilities
- Assist with admin responsibilities including but not limited to guest list management, answering stakeholder inquiries, monitoring shared mailbox, coordinating merchandise/premium deliveries
Essential Skills:.
- Proven experience in event marketing and guest list management.
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication skills.
- Ability to work independently and manage multiple projects simultaneously.
Desired Skills:
- Familiarity with SalesIntel or other B2B contact databases.
- Proficiency with SplashThat or similar event marketing platforms
- Knowledge of B2B marketing and sales processes.
