An excellent opportunity has arisen within the Student Liaison Office of the Hull York Medical School (HYMS) at York Hospital for an experienced, enthusiastic and well organised Administrator.
The post holder will primarily be responsible for coordinating and implementing the delivery of HYMS clinical placements for students placed at York Hospital, amongst other varied administrative duties.
The successful candidate will have experience of using Microsoft Office, particularly Word, Excel, PowerPoint and Outlook. Good communication and organisation skills are required, along with the ability to prioritise workload and deliver a good, consistent customer service in order to maintain the professional image of the Student Liaison Office. The post-holder will be enthusiastic, motivated and be able to demonstrate experience in a range of other administrative roles.
- Develop and prepare timetables for undergraduate medical students on their clinical hospital and primary care placements in consultation with clinical placement tutors and the Clinical Skills Educators involved in their delivery, ensuring compliance with HYMS curriculum guidelines.
- Day-to-day management of timetables inclusive but not limited to: negotiating tutor participation, liaising with Undergraduate Phase Leads, YTH clinicians, booking and reorganising of teaching sessions and securing appropriate teaching spaces. Assist in managing tutor, faculty and student queries.
- Monitor the delivery of clinical placement curriculum; coordinating formal and informal student and tutor feedback and preparing reports for the HYMS management faculty as appropriate.
- Develop and maintain student contact details ensuring all information is correct, held securely and distributed as appropriate.
- Ensure distribution of all relevant materials e.g. student handbooks, speciality placement information, rotas and photographs to tutors as appropriate.
- Assist with Trust induction for all students in accordance with Trust and University statutory and mandatory requirements including ID badges, parking permits, accommodation and all relevant departmental and policy documentation
- Monitor HYMS Blackboard discussion boards, responding to queries as appropriate and liaising with the Operations Manager as required
