Job Title: Medical Secretariat Supervisor
Location: London Bridge Hospital
Hours: 37.5 hours per week
Shift times: Monday – Friday, 0900-1700
Office based role (up to 2 days per week working from home available after passing successful probation, depending on staffing and cover requirements)

We are looking for a Medical Secretariat Supervisor to join our team at London Bridge Hospital. The post holder will actively establish, maintain and strengthen relationships with the hospital’s stakeholders, independent secretaries (patients, consultants and clients) to support the whole patient pathway whilst championing best practice at all times.
To bring together the processes of the various hospital teams to ensure we can all provide an efficient, seamless and first-class level of service to all customers.
What You'll Do
- Supervise over 45 Senior Medical Secretaries in a very busy department, being the main point of contact for the team, overseeing HR processes and ensuring the smooth running of the department.
- Plan, allocate and evaluate the work of the team.
- Conduct reviews and appraisals, set staff objectives.
- Monthly one to ones with staff to monitor progress and workload.
- Performance management.
- Recruitment and selection, ensuring appropriate skill mix.
- Training and induction of new staff.
- Be proficient in all IT systems and responsible for ensuring all staff adequately trained.
- Develop, implement and audit departmental policies and procedures which will meet and exceed the high standards expected by service users.
- Team building and motivation.
- Purchase of stationery and equipment.
- Deal with complaints and escalate where appropriate.
- Promote a learning and supportive environment.
- Provide cover for secretaries at short notice.
- Support the Head of Department and Deputy Manager with any tasks or requirements.
- Manage information, documentation, and communication to ensure accuracy and quality.
What You'll Bring
- Medical Secretarial experience, ideally in Private Healthcare.
- Previous Supervisory experience.
- Detailed knowledge and experience of all systems (DGL/Meditech/Carebit/Mosaiq).
- Strong organizational skills and ability to handle multiple tasks, prioritize responsibilities, and meet deadlines.
- Strong verbal and written communication skills to effectively convey information, ideas, and instructions to different stakeholders.
- Ability to establish and maintain positive relationships with individuals with diverse backgrounds and perspectives, including executives, managers, team members, and external partners
- Strong collaborator with a sense of ownership & accountability.
