Office Coordinator

Overview:

We’re looking for a proactive and detail-oriented Office Coordinator to join our friendly and dynamic team. Based in Fitzrovia central London. This role is central to keeping our workplace running smoothly and ensuring the team has everything they need to do their best creative work.

You’ll act as the hub of communication, managing day-to-day office operations, supporting staff, and helping maintain a welcoming, well-organised studio environment. While this role is primarily office-based, there is some flexibility for occasional home working when the studio is quieter.

Key Responsibilities

• Be the first point of contact, welcoming visitors and providing a professional front-of-house experience.
• Manage incoming and outgoing post, packages, and deliveries.
• Keep the studio tidy, presentable, and fully stocked with supplies.
• Coordinate meeting room bookings and desk allocations for the team.
• Oversee supplier relationships, including cleaning, building maintenance, and IT support.
• Assist with scheduling IT visits and ensuring smooth technical operations.
• Support security audits and compliance requirements.
• Oversee health & safety protocols, including fire safety and first aid.
• Organise travel arrangements and bookings for the team.
• Plan and deliver staff socials and client events to strengthen company culture.
• Provide ad-hoc administrative support, including light social media or website updates.
• Manage the equipment logging and tracking system.
• Assist the COO with day-to-day needs, including diary management, scheduling, and administrative tasks.

Qualifications and Skills:

• Previous experience in office administration, coordination, or a similar support role.
• Strong organisational skills with the ability to manage multiple priorities.
• Confident in liaising with external vendors and service providers.
• Familiarity with health & safety processes and willingness to support compliance.
• Detail-oriented and proactive, with the confidence to make decisions independently.
• Good written and verbal communication skills.
• Comfortable with IT coordination and supporting audits.
• Collaborative, approachable, and adaptable with a positive attitude.
• An interest in creative industries, film, or VFX is desirable but not essential.
