About The Role
Knight Frank is looking to hire an Operations Coordinator to join our Super Prime Lettings department, to cover South West London and the Home Counties.

The Super Prime lettings team is looking to recruit a Operations Coordinator to assist with all administrative and secretarial support for the team. We are looking for a dedicated individual with a high attention to detail, a passion for property and excellent communication and Microsoft Office skills. They must be capable of corresponding with high-net-worth individuals confidently and with total discretion. The ideal candidate for this role will have experience within a similar secretarial role.
Responsibilities
- Always act as an ambassador for the team and carry all assistant duties in a discreet, diplomatic and efficient manner
- Liaise with London offices and lettings managers and other internal departments as required on a day-to-day basis
- Maintaining accurate department figures using excel and taking an active role in ensuring Power BI stats are maintained and correct
- Ensuring property records are updated and maintained
- Assisting the department with day-to-day tasks such as arranging viewing tours and assisting clients with current tenancy queries which may arise
- Liaison with marketing to update website and produce high quality brochures, dotmailers and reverse canvassing
- Preparation of PowerPoint presentations and pitch documents
- Preparation of MBO papers biannually
- General team/office management including paying supplier invoices, coordinating team holidays and submitting expenses
- Being confident and proactive in overseeing and keeping track of CDD and AML cases from start to finish for counterparty and landlord ensuring high levels of service and speed of response
- Creating requirements for applicants, tenancies & property activities on hub
- Being confident and knowledgeable regarding our Terms of Business and proactively managing and communicating with clients to onboard them
- Instructing & launching properties online to KF website, Rightmove & OnTheMarket
- Responsible for managing and maintaining listings on web portals, such as premium listings/feature properties as well as photo rotations
- Creating reservation fee invoices
- Responsible for monthly reporting for RTR and EPC on all Super Prime stock
Key Experience Required
- 3+ years Secretatrial/PA experience
- Approachable, resilient, and patient with a strong focus on problem-solving
- Proficient in English grammar and spelling
- Excellent knowledge of Excel and other MS packages
