Are you a highly organised and proactive professional with a knack for keeping things running smoothly? We are looking for an experienced Personal Assistant to provide comprehensive administrative and secretarial support, acting as the backbone of our department.
In this pivotal role, you'll be the first point of contact for all visitors on behalf of the department. Arranging refreshments for meetings and ensuring the department operates efficiently and effectively. You’ll be responsible for a wide range of tasks, from managing daily office operations to providing high-level support for our senior management team.
Key Responsibilities
- Administrative & Office Management: Handle all incoming calls and general queries, manage post and deliveries, maintain stationery levels, and ensure meeting rooms are tidy and functional. You'll be the go-to person for all office housekeeping and will support office moves and refurbishments.
- PA & Secretarial Support: Provide extensive diary management for senior managers, organise travel arrangements (including visas and itineraries), and manage various on-site and off-site meetings and events. You'll be responsible for capturing minutes and producing correspondence, reports, and presentations using Google applications.
- Systems & Process Management: Use our internal systems to submit and approve requests (e.g., NEP, FCM, Service Now), process department invoices, and support the management of key documents like the Critical Path and Risk Register.
- Departmental Coordination: Act as a key point of contact for the department, manage notice boards, support HR processes, and organise department social events. You will also deputise for the Director's PA when needed, offering crucial support and coverage.
Skills & Behaviours We're Looking For
- Proven PA Experience: You have a solid background in a similar role.
- Highly Organised: You possess excellent organisational skills and the ability to work independently, consistently meeting deadlines.
- Tech-Savvy: You are proficient with Google applications (Gmail, G-suite).
- Proactive & Accountable: You are self-motivated, take responsibility for your work, and have a confident but helpful manner.
- Exceptional Communication: You can integrate and communicate effectively with people at all levels.
- Discreet: You understand the importance of maintaining confidentiality at all times.
