About The Role
Level - 1
Department- Quilter Affluent Proposition & Affluent Marketing
Location - London
Contract - 12 Month FTC
We’re looking for a proactive and highly organised individual to provide dedicated PA and administrative support to three to four Senior Executives within Quilter’s Affluent Proposition and Marketing teams. You’ll also offer flexible support to other members of the Quilter Investors Division as needed, helping to ensure smooth day-to-day operations across the business.
You’ll work closely with a collaborative team of PAs, providing seamless support to Senior Executives and contribute to the smooth running of day-to-day operations.
- Diary Management - Initiating and arranging all internal and external business meetings as required.
- Committee & Forum Support - Assist in the preparation and distribution of meeting materials for Committees and Forum meetings, taking and preparing minutes and Chairperson’s Reports ensuring the follow-up of action items with the team to meet the agreed timeframes.
- Presentation Assistance - Support preparation of executive presentations.
- Expenses and Invoice Processing - Manage expenses, business invoices and payment submissions for the Executive.
- Travel Co-ordination - Using Click Travel system, ensuring all logistics for travel are fully organised and planned.
- Correspondence - Ability to draft own email correspondence in response to queries and Executive request.
- Cross Team Collaboration – Provide PA support to other executives and cover for fellow PAs when needed.
About You
- Previous experience at similar level of PA, Executive Assistant role within a professional or financial services firm at an Executive level.
- Highly organised and able to prioritise and manage workload to meet deadlines and support the needs of three to four Executives.
- Team player, able to work with and across business functions and teams as required.
- Strong interpersonal capabilities with experience in supporting and communicating with senior business executives as well as broader business groups.
- Full knowledge of Microsoft Office, Workday and Coupa would be beneficial.
- Ability to forward think, anticipating the needs of the Executives and comfortable making decisions using own initiative.
- Ability to draft own correspondence.
- Strong attention to detail.
- Aware of the need to use discretion and confidentiality.
