Job Title: Personal Assistant to the Group Chief Underwriting Officer
Division: Chief Underwriting Office
Reports To: As per Beazley’s organisation chart
Key Relationships: Directors, Underwriters, Managers, Secretaries, other staff members and external clients and suppliers.
Job Summary: To provide comprehensive PA support to Group Chief Underwriting Officer and to members of the team as advised by Group Chief Underwriting Officer.
Key Responsibilities
- Act as a first point of contact for both internal and external clients wishing to contact the Group Chief Underwriting Officer.
- Screen and respond to e-mails and telephone calls. Provide full e-mail management support including: management and prioritisation of meeting requests, organisation & filtering of e-mail and delegating tasks to other members of the CUO office where appropriate
- Full and complex diary management including arrangement of meetings, acceptance / declines, act as ‘gatekeeper’ to meeting requests, ensuring adequate time allocation/travel time/preparation time is factored in for meetings. Use initiative to decide on key priorities and ability to make decisions in a very fast paced environment to ensure smooth running of Group Chief Underwriting Officer’s day and effective use of time.
- Arrange internal / external meetings and events, source and book venues, distribution of papers / reports in advance, set up of video / teleconferencing / flipcharts, booking of refreshments / lunches/dinners.
- Provide full administrative support for the Group Underwriting Committee to include scheduling monthly meetings, booking meeting space, drafting and distributing agendas / creating and maintaining agenda planning documents, collating the monthly packs, tracking actions, arranging Away Days and Planning days for the Underwriting Committee Members.
- Provide full administrative support for the annual business planning process, including setting up meetings, managing agendas and distribution of planning documents to the Business Planning Review Group.
- Collate information and produce presentations from PowerPoint for meetings and seminars and maintain business specific reports as required.
- Follow up on agreed action items from meetings.
- Produce accurate correspondence including drafting and sending letters, memos and emails on behalf of Chief Underwriting Officer, including dealing with routine correspondence and enquiries.
- Co-ordinate with the travel team to make travel arrangements, including booking flights, accommodation, ground transportation and organising meetings and events across multiple time zones, producing detailed itineraries, and arranging foreign currency and passport / visas where applicable.
- Book meetings, seminars and conferences, liaising with Culture & People where necessary.
- Meet and greet visitors.
- Expense management - in addition to processing the Group Chief Underwriting Officer’s expenses, responsible for checking expenses for all members of the Chief Underwriting Office team and ensuring company policies and procedures are adhered to.
- Check and process invoices for the Chief Underwriting Office and ensure these are correctly allocated.
- Work closely with both external and internal communications teams on messaging such as all staff calls/internal newsletters and external comms such as press interviews and LinkedIn posts. Attend meetings and team briefs and take minutes and actions as required.
- Take the initiative to identify and resolve problems as they arise to facilitate the smooth running and continuity of business.
- Act as ambassador for the Group Chief Underwriting Officer both internally and externally particularly during times of their absence from the business whilst ensuring that they are fully appraised of any important developments.
- Manage ad hoc tasks / projects as requested by the team.
- Assist other PAs where necessary and mentor team PA’s

- Carry out additional responsibilities as individually notified, either through your objectives or through the learning management system. These may include membership of any Beazley committees or working groups.
