Job Purpose
The Programme Co-ordinator plays a key role at YMCA Fairthorne Manor by supporting the Programme delivery function of the centre. You will ensure a smooth delivery of service by gaining a clear understanding of the requirements of our customers and matching this to the skills and abilities of the delivery staff. You will use your organisational skills to support the delivery of the required programmes to achieve our goals and strategic objectives and the transformation of YMCA Fairthorne Manor.
Key Duties And Responsibilities
- Create individual activity programmes for groups based on their needs and requirements whilst making efficient use of staff and activity resource
- Prepare the weekly staffing rota, ensuring the correctly qualified staff are delivering activities and that staff hours, holidays and TOIL are being monitored and managed in line with service delivery and operational requirements
- Support team members to create exciting programmes for Daycamps, community and schools and groups
- Collate and share customer pre-visit information in a timely manner for each group with relevant departments and leads to ensure customer satisfaction is achieved
- Collate customer post experience feedback and prepare KPIs and share with relevant departments for monitoring and tracking purposes
- Work closely with the sales team to monitor bookings and capacity limits
- Use a CRM software package (netsuite) to manage group information
- Deliver administrative support for events such as the annual Young Carers Festival

Qualifications/Experience
Essential:
- Minimum of 2 years’ experience of working in a customer focussed role
- Excellent IT skills working knowledge of Microsoft office, especially Excel
- Previous knowledge and use of CRM systems
Desirable
- Familiarity with outdoor activity settings
- Understanding of how to plan and develop staff rotas and programmes
- Experience of working with volunteers
