About The Role
To provide support and general administrative assistance across the M1/A1 CSB Scheme 4. With daily tasks in document control, updating planning tasks, quality check lists and other tasks as required. This role supports the smooth flow of project documentation and ensures the site office operates efficiently, contributing to successful project delivery and compliance with quality and safety standards
What you'll be doing
Document Control Support
- Support the setup, maintenance, and organisation of document workflows and registers.
- Assist with uploading, tagging, issuing, and archiving documents using SharePoint, Business Collaborator, or similar platforms.
- Help manage version control, ensuring only the latest documents are in circulation.
- Liaise with subcontractors and the internal team to collect and file required documentation on time.
- Assist in preparing handover files, quality records, and compliance documentation.
Administrative Support
- Provide general office support to the project team, including meeting coordination, note taking, and correspondence.
- Maintain staff records such as training logs, holiday planners, DSE assessments, and fire/first aider boards.
- Organise documents for Toolbox Talks and safety briefings and keep attendance records updated.
- Manage filing systems, both physical and digital, in accordance with site and company standards.
- Assist with consumables ordering, basic IT support requests, and maintaining tidy shared spaces.
Health, Safety & Office Operations
- Carry out weekly office checks, including fire alarm testing and first aid kit refills.
- Support the safety observation process and record key H&S data.
- Coordinate with the cleaning team and ensure housekeeping rules are followed (e.g. Tidy Fridays).
- Track utility readings and assist with sustainability data collection
Who we're looking for
- Some experience in either document control or office administration (ideally within a
construction or infrastructure setting)
- Comfortable using digital systems (O365, document platforms like SharePoint or Business Collaborator)
- Strong attention to detail and ability to stay organised
- Good communication skills – written and verbal
- Proactive and able to manage routine tasks with minimal supervision
