What you'll be doing
The function of this role is to provide support to the Project Management team with document controls, meeting arrangements (internal and external) organising events, team resourcing, project procurement and quality assurance duties and ad-hoc admin duties.
- Assist with the uploading of timesheets/hours onto Oracle R12 and Replicon Software. Ensuring allocation sheets are submitted and received by all blue collars on time to issue accurate cost allocations and adjustments.
- Prepare and track project expenditures.
- Work with Project Team to ensure office is safe, well organised, and tidy and any issues are followed-up with relevant internal/external suppliers.
- Organise and produce papers and reports.
- Arranging/raising purchase orders for materials and plant.
- Updating and maintaining records.
- Detailed reports on all costs, cancellations, and enquiries.
- Updating and maintaining hire report and consulting with relevant parties to ensure off-hires are recoded accurately.
- Direct point of contact between suppliers and project for orders, issues and resolving invoice discrepancies.
- Managing deliveries and bookings to site.
- Organising site inductions and visitors.
- Managing PPE stock and register.
- Operative timesheets and wage queries.
- Recording and filing delivery notes.
Who we're looking for
- Skilled user of Microsoft Outlook, Teams, PowerPoint, Word and intermediate user of Excel.
- Highly organised and able to work on own initiative.
- Ability to engage and build effective relationships.
- Strong communication and influencing skills.
- Demonstrable ability to prioritise and manage conflicting priorities during busy periods.
- Able to demonstrate a logical, proactive approach.
- Possesses a high degree of attention to detail.
