The role 

We have an exciting opportunity for a Project Assistant to join our growing Projects team. The ideal candidate will have experience in a client-facing role, supporting the delivery of projects in an event or production company. Experience working in a fast-paced environment and assisting on multiple projects, often with competing deadlines, is essential.

Made Up is a full-service Creative Production House. We are a dynamic team of designers, project managers, and makers. We pride ourselves on managing every aspect of the brief in-house. From creative concept and design to construction, build and installation (and everything else in between), we take care of the entire lifecycle of a project.  

With over 20 years of experience working with the world's biggest brands, we have delivered thousands of events, pop-up bars, brand activations, live events and retail design. We have worked with clients like British Airways, BBC, Google, Netflix, Facebook, Bentley, Apple, YouTube, Amazon, Prada, Tagheuer and many more.  

Our offices and production facilities are housed under one roof, allowing all departments to work collaboratively on a brief. As a project assistant, you'll be supporting across our team of project managers activations. You'll support in picking up new briefs and work closely with the team to bring them to life. You'll have the opportunity to see the project moving through our workshops and be able to speak with carpenters, metalworkers, scenic painters, the tech team and installation managers.  

For this reason, this position is office-based, and you'll need to be able to work from our studio in South London.  

Key Requirements 

• 1+ years of relevant experience working in the event industry. 
• Experience in a client-facing role 
• Excellent time management and strong organisational skills 
• A can-do attitude and calmness under pressure 
• Ability to adhere to client budgets 
• Confident using the full range of MS Office products, including Excel, PowerPoint and Outlook 
• Knowledge of H&S standards 
• Due to the nature of the events industry, you must be able to work outside typical office hours and travel domestically and internationally when needed. 

Responsibilities 

• Provide day-to-day administrative and operational support to the projects team. 
• Assist in preparing and developing client pitches and project presentations. 
• Support the development and monitoring of project budgets, timelines, and financial tracking. 
• Source and order materials and products required for projects in coordination with the production team. 
• Organise and schedule internal briefings and meetings with design, production, and other departments. 
• Liaise with third-party vendors, subcontractors, and venues to ensure services and deliverables are aligned with agreements. 
• Assist in delivering projects within budget constraints while maintaining required margins. 
• Support the creation and organisation of essential project documentation such as production schedules and RAMS (Risk Assessments and Method Statements). 
• Provide on-site support during installations, live events, and de-rigs, ensuring smooth project execution. 
• Collaborate with carpenters, metalworkers, scenic painters, and tech teams to facilitate seamless project flow. 
• Help maintain communication between clients and internal teams throughout the project lifecycle.
