Role Overview
We see the vital role our Project Executives play as a key member of our delivery team, playing a big part in a project's success. Senior members of the team rely on them to support across different projects, giving them incredible chances to grow and build experience.
We are now looking for our next ambitious, process-driven Project Executive to get stuck in with a can-do attitude and a willingness to learn.
If you embody innate proactivity, initiative and enthusiasm, the role could be perfect as you support us in producing events from beginning to the very end.
Responsibilities
- Support Project Leads and wider project teams with planning and delivery, often across multiple events which might range from conferences, exhibitions, award ceremonies, brand activations and incentive trips
- Complete project tasks on time and to deadlines, following and fully understanding Sleek's internal working processes
- Create and maintain working project documents including walkthrough decks, critical paths, client and supplier meeting agendas and contact reports, plus accurately capture actions and notes from team and client meetings
- Help to source and negotiate suppliers and venues
- Monitor existing supplier performance and seek out new suppliers
- Assist with budget creation, management and reconciliation, creating PO's and assisting with supplier onboarding
- Attend venue site visits and create site visit reports for internal and client review
- Admin support including booking team travel and accommodation, maintaining accurate internal documents such as a bookings tracker / FAM trip tracker etc
- Manage event stock and shipping
- Potential ownership of a part of a project, which could include registration, hosts, security, furniture, swag, gifts, branding and wayfinding through to venue liaison, catering, or transportation.
- (Onsite) - Assist with build/breakdown of events, production office set up and other key onsite tasks to help the project team
- Be involved in the research, administration and preparation of RFP's or pitches, supporting the rest of the pitch team
- Ensure timesheets are completed weekly with accurate project hours
- Network with the industry by attending relevant events
Requirements
- (Ideal) Experience in a similar event agency client facing role
- Enjoy working collaboratively and providing excellent support
- Proactive, self-motivated, focused
- Strong desire to help others to succeed
- Ability to manage clients and delegates pre-event / onsite and post-event
- Great, confident communication skills both by email, phone and in person
- Able to prioritise own work effectively and work to multiple deadlines
- Work in multi-functional/cross disciplined teams
- Represent Sleek: good knowledge of Sleek, the events industry and client's industries
- High attention to detail
- Able to travel when required
- Flexible working attitude
- IT literate (MS Office)
- Desirable software knowledge: Procim/Google docs
- Being multilingual would be brilliant, but is not a definite requirement
