Job Description

This is a key role within the Asset Services team to help deliver service excellence to our clients and all key stake holders of our managed assets.

The Business Administrator will provide general administration support to the Asset Services Property Managers in London and regional offices, working as part of a team from a shared central mailbox.

The successful candidate will bring drive, be able to think outside the box and be a great team player.

Key Responsibilities

  • Lease administration – lease reading to complete internal data forms to update property management systems
  • Responsible for invoice processing, creating purchase orders
  • Responsible for the set-up of new suppliers
  • Support Property Managers with service charge budget creation and reconciliation process
  • Co-ordinate property inspections
  • Utilities – working with our energy broker to manage the change of tenancy process
  • Vacant Property – manging void property inspections
  • Assist with the mobilisation/demobilisation process
  • Keep internal systems/databases up to date
  • Assist with ad hoc projects e.g. insurance renewals, arrears chasing, bid proposals

Experience & Competencies

  • Previous experience in commercial property administration is essential
  • Expert Knowledge of TRAMPS
  • Experience of other property management systems is desirable
  • Excellent attention to detail
  • Ability to prioritise workload
  • Required to work 3 days per week in the office
  • Working hours 9:00am – 5:30pm
