As a Property Manager at ACT, you will play a key role in maintaining this excellence by overseeing a portfolio of completed properties, managing service agreements, resolving defects, coordinating ad-hoc works, and providing exceptional ongoing support to our clients.
This client-facing role is based at our Head Office and involves regular site visits to inspect properties, obtain quotations, and manage the delivery of continued works.
Job Requirements
- 5+ years experience as a Property Manager or similar role.
- Strong understanding of construction & property maintenance.
- Ability to effectively manage multiple tasks and prioritise responsibilities.
- Customer relationship management skills to build rapport with clients and address their needs effectively.
- Strong negotiation skills for lease agreements & contracts.
- Excellent phone etiquette and strong communication skills.
- Strong data entry skills with attention to detail.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Experience using software for the management of works.
Job Responsibilities
Client Liaison & Relationship Management
- Serve as the primary point of contact for existing & new clients post-project completion as well as, delivering an exceptional and responsive aftercare experience.
- Build strong, ongoing relationships with clients, understanding their needs and ensuring timely and effective resolutions to queries and issues.
- Conduct regular site visits to maintain service quality and proactively identify areas requiring attention.
Aftercare & Service Agreement Management
- Write, issue, negotiate, and manage service agreements.
- Lead the rollout and management of active service contracts, with responsibility for onboarding new agreements as part of our planned growth.
- Establish and maintain aftercare systems and processes to scale the division.
- Track service performance, reporting on KPIs and client satisfaction.
Defects Management
- Take full ownership of post-completion defect management, ensuring all issues are recorded, tracked, and resolved efficiently.
- Coordinate with site supervisors, sub-contractors, and internal teams to rectify defects with minimal disruption to clients.
- Develop and maintain a robust defects tracking system to identify trends, drive continuous quality improvement, and reduce future defect rates.
Ad-Hoc Works Coordination
- Manage client-requested minor works such as decorations, repairs, and additions from quote through to completion.
- Coordinate a small in-house or subcontractor team to deliver these works in line with ACTs quality standards and timelines.
- Oversee all administrative and financial elements including quoting, scheduling, invoicing, and reporting.
Maintenance & Supply Chain Oversight
- Oversee the Planned Maintenance team, providing support, direction and structure in their day-to-day delivery.
- Build and maintain a reliable and skilled supply chain capable of delivering high-quality maintenance and aftercare services.
- Coordinate with internal departments to streamline communication and service delivery.
Team Support & Development
- Support and coach Maintenance and Aftercare team members, promoting best practices in communication, customer care, and operational delivery.
- Help scale the department through structured workflows, resource planning, and training.
- Collaborate with management to forecast staffing needs in line with growth in service contracts and small works volume.
