Receptionist in our Facilities team.
The Facilities Department is essential to maintaining a safe, efficient, and welcoming office environment. It oversees all aspects of building infrastructure, including plumbing, heating, ventilation, air conditioning, and fire safety equipment, ensuring everything functions reliably and in compliance with regulations. The team also manages security systems through access controls and assigns access passes for new joiners. On the softer side, we handle services that directly affect the daily comfort and experience of staff and visitors—such as cleaning, recycling, mail delivery, meeting room setups, and reception. Additional responsibilities often include space planning for office moves, first aid and fire marshal coordination, sustainability efforts, contractor management, and maintaining a positive workspace atmosphere. Altogether, the Facilities Department provides the behindthe-scenes support that enables employees to focus on their work while enjoying a clean, safe, and wellorganised environment.

Our Business, Your Impact, Our Opportunity
What you’ll be doing:
- Answering all calls in a timely and professional manner
- Greet visitors (clients/brokers) with a professional, welcoming and positive attitude
- Being main point of contact for all staff, providing support and information when needed
- Taxi bookings via GETT & Addison Lee
- Coordinate the meeting room schedule and ensure special requirements in terms of setup and equipment are met
- Ensure visitor lounge and reception areas are kept tidy and clean
- Support with projects as needed, accepting direction from all departments
- Check mail and disperse/scan accordingly
- Prepare outgoing courier packages and monitor for delivery
- Liaise with catering regarding hospitality requests for internal/external meetings
- Provide Health & Safety support, carrying out bi-weekly housekeeping inspections and maintaining First Aid boxes
- Ordering business cards
- Assist in the coordination of the onboarding process for new hires
- Report maintenance issues to building maintenance, as appropriate
What You’ll Bring
- Experience within a Specialty Insurance / Reinsurance company would be a distinct advantage.
- Reception and office administration experience in a professional environment.
- Act as a designated First Aider and/or Fire Marshal (if trained)
- Assist with emergency procedures, drills and health & safety initiatives
- Excellent interpersonal skills and telephone skills
- Ability to work with a team-oriented approach and with social competence
- Ability to work effectively in a fast-paced environment
- Demonstrate knowledge in coordination and competence for communication at all levels
- Intermediate computer skills including PowerPoint, Word, Excel, Outlook, and Adobe Acrobat
