As we continue to expand globally, we’re hiring our first Recruiting Coordinator in London to support Vanta’s continued growth and help build scalable, geo-specific recruiting practices in our newest hub.
You’ll play a foundational role in creating an exceptional experience for every candidate, interviewer, and hiring manager in our London and Dublin offices. This is a critical position for someone who thrives in a fast-paced, collaborative environment and is excited about building structure, managing complexity, and driving operational excellence in recruiting.
This role is hybrid in person in our London office.
What you’ll do as a Recruiting Coordinator at Vanta:
- Coordinate interviews across teams, time zones, and formats (virtual and in-person), ensuring a smooth candidate experience
- Own candidate communications, including scheduling emails and interview prep materials
- Manage onsite interview logistics in the London office, including day-of setup and support
- Help plan and execute in-person recruiting events in partnership with the Talent and Workplace teams
- Build and document EMEA specific recruiting processes and candidate communications
- Set up jobs and interview plans in Ashby, and keep all scheduling data accurate and up to date
- Partner with recruiters and hiring managers to update interview processes and flag workflow issues
- Support interviewer training by tracking completion and sharing resources with new interviewers
- Monitor compliance tasks, including NDA tracking and weekly Checkr background check audits
How to be successful in this role:
- 3+ years of experience as a Recruiting Coordinator or similar role in a fast-paced, high-growth tech environment, ideally supporting distributed teams or international hiring
- Strong organizational skills, attention to detail, and ability to manage competing priorities
- A proactive mindset to spot inefficiencies, propose solutions, and follow through to make them happen
- A true team player with a service-oriented approach and an eye for providing a warm, seamless experience for candidates and interviewers
- Excitement to be a foundational hire in London, helping shape our on-the-ground recruiting practices and office culture
