The Role

As a recruitment assistant you will provide essential administrative and coordination support to the Senior Recruitment Advisor, assisting with all aspects of technology and data recruitment. You will help schedule interviews, track recruitment activities, liaise with stakeholders and vendors, and ensure the recruitment process runs smoothly and efficiently.

  • Provide high-quality administrative support to the Senior Recruitment Advisor focusing on technology and data recruitment.
  • Schedule and coordinate interviews and meetings with internal stakeholders, candidates, and external vendors, ensuring complex and challenging diaries are managed effectively.
  • Liaise with stakeholders' PAs to arrange candidate interviews, agency briefing calls, and internal stakeholder meetings, prioritising and communicating urgency where appropriate.
  • Maintain, update, and track recruitment actions, candidate progress, and recruitment pipelines using trackers and the applicant tracking system (Workday).
  • Load new roles and vacancies onto Workday following the completion of the recruitment approval process.
  • Support confidential candidate and recruitment communications, ensuring timely and accurate information flow between candidates, vendors, and internal teams.
  • Assist with reporting for the recruitment team and business by developing, maintaining, and distributing regular and ad-hoc recruitment reports and trackers.
  • Upload invoices onto internal systems and coordinate with internal teams such as HR People Services and HR Systems as required.
  • Undertake ad-hoc project work and provide flexible support within the resourcing function as directed.

About You

  • Previous experience in an administrative role, ideally within a busy environment managing a varied workload.
  • Demonstrated ability to schedule and coordinate complex meetings involving multiple stakeholders, including those with demanding diaries.
  • Experience working with confidential information in a professional manner.
  • Proficient in using Microsoft Office (especially Outlook and Excel) and recruitment or HR systems; experience with Workday is desirable but not essential, as training can be provided.
  • Excellent organisational skills and strong attention to detail.
  • Clear and professional communicator, both verbally and in writing.
  • Ability to prioritise competing demands, remain calm under pressure, and escalate urgent matters appropriately.
  • Positive, proactive approach to work, able to work effectively both independently and as part of a team.
  • Experience within a professional services or technology recruitment environment is desirable.
