JOB DESCRIPTION / PURPOSE:
The Regional Facilities Lead - Europe will be responsible for the overall operations and budget support within the region assigned. Provide management, direction, guidance training, and support to ensure that direct reports and third-party vendors are carrying out their responsibilities in a manner consistent with high-quality maintenance and economical operations, and in accordance with contractual agreements. In addition, this position will ensure the management of all direct reports and oversite of daily facility management and operational activities associated with this region.
ESSENTIAL DUTIES:
• Support and/or lead all aspects of facility operations, EH&S, including budgeting, cost control, incident management, vendor management and critical space management within region
• Perform inspections of properties utilizing facility management checklist, and hold meetings with direct reports to review, and provide/receive updates accordingly
• Monitor Teams performance ensuring that KPI’s are in line with agreed Real Estate practices and contractual requirements
• Ensure team’s compliance with CMMS system, client’s environment program,
• Analyse and ensure the accuracy of monthly energy and environmental data which has been uploaded to client’s environmental platform
• Effectively communicate ideas through oral and/or written presentations
• Lead a constant effort to improve resource usage (energy, labour, vendors efforts)
• Assist in the development and execution of all maintenance programs relating to the interior and exterior conditions and appearance of the properties, assuring the highest levels of customer satisfaction
• Identify and implement agreed savings initiatives
• Ensure compliance with local environmental, health & safety legislation, and company policies
• Identify issues with recommended solutions, ensuring a successful completion
• Resolve issues efficiently and manage follow-through to final execution
• Ensure management of Region’s financial budgets, including annual capital and operating expense budgeting, working directly with Finance Manager and Account Leadership
• Provide leadership to direct reports, overseeing all aspects of facility management to ensure services being delivered in accordance with MSA and KPI requirements
• Participate in the development of RFP’s, scope of work, cost analytics, working directly with portfolio Sourcing & Procurement Lead
• Prepare regional monthly operating highlights and variance explanations
• Produce annual operating & capital regional budgets and other reports as required
• Develop, maintain and foster good vendor relations with third party contractors relative to mechanical, electrical and plumbing systems, general housekeeping and other property infrastructure
• Oversee monthly inspections and quarterly audits of property/properties
• Respond to emergencies and perform tasks required for protection of property and well-being of occupants through client’s critical incident management processes; ensure proper follow through and reporting
• Participate in client’s Business Continuity Management program, ensuring the facility team complies with all required policies and processes
• Ensure prompt response and follow up to end user concerns or issues and documenting of the resulting corrective actions required
• Maintain a working knowledge of industry best practices and programs for facility management including building management systems and other systems to drive innovation, cost efficiency and improve operations.
SKILLS, EDUCATION & EXPERIENCE:
• Excellent oral, written communication and presentation skills
• Strong financial, operational and general management acumen
• Pro-Active business acumen
• A strong leader, manager and developer of people and teams
• Open and frequent communications with team and direct Manager
• Strong competency in Workplace Service Delivery / Facility Management
• Previous experience with direct management of multiple facilities in a Region
• Practical understanding of change management processes and tools
• Adept at improving processes and utilising improvement methods and techniques
• Financial analysis and reporting skills; experience in developing and utilising systems, tools, processes and controls
• Experience in developing and maintaining written environmental health and safety policies, conducting safety audits and creating culture where safety is embedded in day-to-day actions of employees and vendors
• Four-year college/university degree; advance degree preferred
• CFM, FMA, SLCR, CCIM CMP industry certifications desired but not required
• Other engineering, business or technical training or certifications a plus
• Minimum 10 year of multi-national, Europe experience in Facilities Management, including at least 5 years at a Manager/Senior Manager level
• English is required, multiple languages is a plus
• Facilities procurement experience as a third-party provider or end user, sourcing services including landscaping, HVAC maintenance, predictive maintenance, janitorial services, etc.
