Resource /Traffic Manager in London to work across physical, hybrid and digital events and activations
You will have a minimum of 3-5 years' events agency experience as a Resource planning manager and enjoy rising to a challenge. Outstanding time management, organisational skills and a passion for events. Strategy, planning, management and a deep understanding of creative process including industry standard best practices and software tools
This is an exciting opportunity for a to work with a talented global team on hugely creative and innovative projects. Our major international clients include Amazon, Pintrest, Yahoo, T-Mobile and Live Nation, for whom we activate worldwide. International travel will therefore be essential.
Overview
What is the purpose of the job?
Working with department heads, you will have responsibility for managing the planning and engagement of resources for the Creative studio to ensure the smooth and efficient workflow of our projects across digital and IRL presentations, broadcasts, and installations.
To deliver a commercially successful and operationally effective resource planning process through strategic thinking and problem solving
Responsibility for developing, implementing and maintaining resource planning tools and software
Working with Producers, Production and the creative studio to identify and establish the time lines and resources needed to deliver excellence across the project lifecycle and the smooth workflow of the creative studio

The Role
Location: DesignScene Limited, London, UK
Employment Type: Permanent
Salary: £40-£55K (dependent on experience) per year plus bonus schemes
What You Have To Achieve
- Provide effective planning of resources across all the 3 project facing business functions (Projects, Production & Creative studio) for all DS Projects
- Efficient process and project management at all stages of project development
- Develop and implement process improvement that delivers commercially successful resource management at DesignScene
- Deliver analysis of information to allow efficient management of resource and costs associated
- Build strong and effective relationships between the Studio, Project and Production teams to collate accurate information
- Efficient working across international teams with regards to resource planning
Job Activities - What do you have to do?
- Participate in creative kick off meetings and regular project meetings
- Work with various teams to ensure that Project Critical Path documentation captures key mile stones, deadlines and actions and these are communicated appropriately to all internal stakeholders in a timely fashion
- Work with Project Managers on Critical Path timings to maximise efficient resource planning across all DesignScene projects
- Put together, manage and execute effective planning ensuring deadlines are met
- Identify resourcing or skills gaps with team and freelancers to ensure project plan is delivered
- Work with department heads and stakeholders to wrangle teams across departments and time zones
- Use Procim system to produce reports and provide analysis and detailed feedback to team to support planning process
- Create weekly/monthly forecast documentation to ensure best practices in resource planning
- Resourcing of freelance staff
- Manage the team's time and make recommendations to prioritise their workload to ensure timely work delivery
- Work closely with the team leads in prioritizing / re-allocating workloads
- Flag resourcing bottlenecks / conflicts and make recommendations to the senior leadership team
- Monitor freelancer overheads and make recruitment recommendations
- Produce weekly commercial reports highlighting issues and trends within project resourcing
- Take part in internal debriefs to understand resourcing issues and take forward any learnings

What technical knowledge do you need?
- Competent use of Apple OS, Google G-Suite, Microsoft Office, Apple Keynote,
- Quick learning skills for our other platforms such as Slack, Airtable, etc
- Experience in PROCIM a bonus
