Description
Moore Kingston Smith is looking for a proactive and highly organised
Secretary to join our
Redhill office on a
12-month maternity cover contract. This is a varied role supporting Partners and Managers while ensuring the smooth running of the office.
Key Responsibilities
- Provide full secretarial and administrative support to Partners and Managers
- Manage all incoming and outgoing post, including scanning, franking, and recorded deliveries.
- Book and track couriers (local, national, and international).
- Coordinate meeting rooms via Condeco, arranging set-up and catering as needed.
- Organise and support events such as Lunch & Learns and other ad-hoc gatherings.
- Liaise with the Facilities team and external contractors regarding office maintenance, supplies, and equipment
- Order and maintain office supplies, including stationery, catering items, and deliveries.
- Prepare engagement letters, send client fees, and issue documents via DocuSign.
- Handle client records, ensuring accurate logging, safe storage, and appropriate returns to clients.
- Support compliance administration, including AML reviews and client onboarding.
- Coordinate business travel arrangements for staff, including overseas and local bookings.
- Maintain office records and logs, including safe contents, filing, and system updates.
Skills, Knowledge & Expertise
- Proven secretarial/administrative experience in professional services.
- Strong organisational skills with ability to manage multiple priorities.
- Excellent written and verbal communication; professional and approachable.
- Proficient in Microsoft Office; knowledge of DocuSign, Condeco and Fibre an advantage.
- Minimum Grade B in English GCSE (or equivalent).
- Able to work independently and as a reliable team player.
- Strong problem-solving skills; effective liaison with facilities and suppliers.
- High accuracy and discretion when handling confidential information.
- Experience coordinating meetings, travel, and events.
- Knowledge of office processes (post, filing, couriers).
- Familiarity with client onboarding, AML, and company secretarial admin (desirable, training available).
- Proactive, flexible, and confident handling both routine and unexpected tasks.
