Job Purpose

An opportunity to provide temporary, fixed-term maternity leave cover for the Senior Admissions Manager, UK EFL. We are looking for an excellent and dependable manager who will proactively support our team during a maternity cover period, including a lead-in time of approximately two to three weeks.

This is a pivotal role in the UK English Language division, supporting all areas of our activity, and the role requires a flexible and keen approach to change depending on the support needed by the team.

The contract is for an initial fixed term of 11 months, to be reviewed at that point. It could potentially lead to a permanent role elsewhere within the organisation, depending on suitable vacancies at the time.

The post-holder is responsible for overseeing the processing of all UK EFL bookings across the Junior and Adult market. This role also includes developing client relationships with agencies by delivering excellent customer service. A key priority is to ensure that established guidelines are adhered to on the speed, accuracy, and quality of responding to agents on enquiries, booking confirmations, invoicing, payment, and pre-arrival information.

Main Duties And Responsibilities:

Admissions

  • Manage the admissions team to ensure the bookings are processed correctly and efficiently
  • Deal with agent enquiries promptly usually within 24 hours of receipt
  • Assist the team in producing booking confirmations, invoices, visa letters and pre-arrival information
  • Liaise with the operations and academic team to ensure they are aware of any extras to the programme packages and that programmes can be made to schedule
  • Ensure all fees have been paid prior to the student’s start date
  • Overseeing allocation processing by ensuring they are correctly added to the database and are updated
  • Ensuring the admission team and regional sales team are updated with course and accommodation availability
  • Oversee accommodation availability- residence and homestay.
  • Lead on technical issues e.g INQ, Zendesk etc…

Business Development/Sales Support

  • Take responsibility for developing the relationships between Oxford International and the agents who send students.
  • Have oversight of fam trips and assist in representing the broader portfolio of the Oxford International brand
  • Oversee and, on occasion, take part in agent visits/meetings to nurture existing relationships and develop new business
  • Ensure the admissions team support the regional sales teams in providing up-to-date marketing materials
  • Have regular contact with the sales team to discuss offers and promotions to promote growth
  • Oversee allocations/bookings to identify quieter periods and how to generate more interest.
  • Support D2C conversion team by communicating promotions/offers and current availability
  • Support schools and the conversion team to boost positive online presence, including Google reviews
  • Work with the conversion team and marketing on new initiatives to best recruit more students locally
  • Mailshots – input/design
  • Work with Regional Managers/Admissions team to update booking platform/agent websites, etc – to ensure all price offers are correctly displayed
  • Agent on-boarding/referencing

Other

  • Named lead person for insurance for the language programmes (Adults only)
  • Lead on GDPR compliance, ensuring the team is aware of the regulation and what is required of them

Person Specification

Statutory requirement

  • Eligibility to live and work in the UK
  • Willingness to undergo a DBS check or overseas equivalent

Qualifications

  • Educated to Degree level or equivalent
  • A second language (Desirable)

Experience And Knowledge

  • Experience of working in a process driven environment
  • Experience of working in a customer focused environment
  • Delivery of customer service excellence
  • Detailed knowledge of managing a complex customer journey
  • Experience in reporting against metrics and presenting to peers
  • Experience of working within an admissions function
  • Knowledge of CRM and Admissions systems
  • Experience of working with colleagues across multiple locations (Desirable)

  • Ability to work well under pressure in a fast-paced target driven, service focused environment
  • IT literate with good numeracy skills and attention to detail.
  • Ability to work within clear process guidelines but have the ability to make sound decisions where there is no set process.
