About The Role
Based in our Global HQ on Baker Street the Senior Executive Assistant will work within the Risk department, providing EA support to the Chief Risk Officer. The role is required as right-hand person, supporting them with the smooth running of the department. Confidentiality is crucial to this role.
Responsibilities
- Being the first point of contact for the CRO with colleagues across the business, Group and Divisional Heads, Board members and the team.
- Extensive senior level support, to be a natural extension of the CRO’s day to day activities.
- Carrying out all EA duties in a discreet, diplomatic and efficient manner to reflect the brand and the department
- Working exceptionally closely with the CRO so as to be in a position to anticipate their needs and be able to help prioritise requests for time and attention from all areas of the business
- Project work/research, in particular taking responsibility for maintaining momentum on projects being delivered directly for the CRO
- Proactive diary management, organising and minuting meetings, document production and travel arrangements (including travel, hotel bookings and visa applications)
- Preparation for meetings, ensuring that the CRO has all relevant documentation ready for pre-reading
- Setting up appraisal meetings with direct reports; ensuring all documentation is complete before and after the appraisal
- Organisation of relevant board meetings, which may include setting up the meetings in a timely manner, making sure that the CRO is prepared for all Board and Committee meetings he attends and that papers are collated and sent out in plenty of time for the meeting
- Reviewing Board papers, making sure minutes are reviewed and ensuring the CRO carries out their actions before the next meeting
- Maintaining strong connections and partnerships throughout the organisation.
- Building trustworthy relationships among stakeholders, internal teams, and external contacts, and providing the CRO with any necessary business intelligence including feedback from departments.
- Proactively build rapport and nurturing an affective relationship with the EA network at Knight Frank
Department Management
- Experienced at supporting a line manager with a large, multi-disciplined, department
- Managing the onboarding and offboarding of new joiners and leavers to the department on behalf of the CRO
- Making sure the new joiners are inducted into the department with an induction programme and set-up of IT equipment and access
- Ensuring the Risk team are equipped with stationery, tools and furniture to be able to conduct their roles
- Be the liaison for all department related activities for the Risk team
Financial
- Monthly reporting of current headcount and vacancies
- Invoice approval
- Administering all expense claims for the CRO
- Be a delegate in SAP and Workday for the CRO so reports can be run, invoices and holiday approved
- Approve Risk department expense approvals
Systems & IT competence
- Microsoft Packages including Word, PowerPoint, Outlook, Excel and Teams (advanced)
- Experience of Workday & SAP preferably
Experience And Particular Aptitudes/Skills Required
- 5 years+ EA experience
- Experience at board level with minute taking being essential
- A flexible, organised, pro-active hands-on individual is required for this role
- Excellent IT skills with knowledge of Microsoft Office
- Excellent verbal and written communication skills
- Excellent time management skills
- This role would suit a strong communicator capable of successfully influencing others at all levels of the business, with a professional and helpful manner
- This position will ideally suit a self-motivated, well-presented individual with a proven background in project management, organisation and administration, including a genuine interest in Risk
- Ability to influence and communicate with others. Using your empathy to understand difference, diversity, assumptions and stereotypes.
- Understanding how to use emotional intelligence, knowing your inter-personal style and how your behaviour impacts others.
