We are seeking a highly professional and proactive
Team Assistant to provide high-level administrative and general support to
two Senior Vice Presidents within our global sports marketing agency. This is a pivotal role requiring exceptional organisational skills, discretion, adaptability, and the ability to juggle multiple priorities in a fast-paced, high-performance environment.
PLEASE NOTE:
- This is a full-time permanent position based in Chiswick Business Park, London
- Working hours are Monday to Friday, 9am - 5pm
- Working with a global team, liaising with those travelling in different time zones (being open to calls outside office hours, if occasionally required)
- Unsocial hours, dictated as and when by the demands of the business schedule.
Key Responsibilities Include But Not Limited To:
- Calendar & Schedule Management: Efficiently manage complex diaries, ensuring strategic prioritisation of meetings across global time zones.
- Travel Coordination: Plan and coordinate domestic and international travel itineraries, including visas, flights, taxis, logistics, and accommodation. You’ll suggest the most efficient travel routes and prepare your execs for their travel
- Meeting Support: Prepare agendas, book meeting rooms, coordinate diaries & attendees, coordinate materials, take minutes, and track follow-ups from internal and external meetings.
- Project Assistance: Support strategic initiatives, helping manage deadlines, research, and presentation or proposal development, proof reading & filing of important documents.
- Administrative assistance: process invoices, help manage project plans and schedules, filing etc
- Event Planning & Logistics: Assist in the coordination of industry and internal events like offsites, conferences, and internal workshop
- Providing cover where required and working closely with other Executive Assistant’s within the wider network.
You Will Have The Following Strengths:
- Previous experience as a team or executive assistant in a corporate environment is required.
- Excellent verbal and written communication skills. Attention to detail is a must.
- Strong organisational and time-management capabilities with a meticulous eye for detail.
- Confident managing multiple tasks and stakeholders simultaneously.
- Comfortable navigating ambiguity and shifting priorities.
- Proficient in Microsoft Office Suite, particularly Outlook, PowerPoint, and Excel; familiarity with collaboration tools (e.g., Teams, Zoom, Slack).
- Confidentiality & Discretion: Handle sensitive information with the utmost discretion and professionalism.
- Calm and professional manner when working under pressure
- Positive, professional, proactive, diligent and flexible approach to work
- A strong team player with outstanding organisational skills
