Job Summary
This is a desk-based, customer-focused role working across the Southbank Place and Wood Wharf developments, with a primary focus on managing utility billing for unsold (void) apartments across the portfolio. In this position, you will take ownership of void billing management, ensuring accuracy, timely payments, and smooth coordination with suppliers and the accounts team.
Alongside this, you will provide a range of essential administrative support to the Customer Service team, including raising and monitoring purchase orders and keeping internal systems and trackers up to date. You will play a key part in ensuring the financial and operational side of vacant properties is handled with precision, while also supporting the wider team to deliver a seamless customer journey.
This role is ideal for someone who genuinely enjoys administrative tasks, has excellent communication skills, and takes pride in being a dependable support for a busy and collaborative team.
Annual Salary: £30,000 - £35,000
Working Hours: Monday - Friday, 8.30am - 5.30pm

Main Responsibilities
- Manage utility billing for unsold (void) apartments, including council tax, electricity, and water charges. Work closely with suppliers and the accounts team to ensure all invoices are accurate and paid within required timeframes.
- Liaise with suppliers and internal teams to investigate, challenge, and resolve any discrepancies on utility bills, ensuring accuracy and accountability
- Maintain departmental workflows by monitoring invoice register dashboards and ensuring all relevant data is accurately updated and stored within Yardi and the shared database.
- Oversee the invoice email account, ensuring timely processing of all invoices in line with scheduled payment runs, and coordinating with the accounts team to provide remittance advice as required.
- Complete and distribute change of ownership forms to relevant utility providers and follow up on outstanding balances to ensure these are submitted promptly to the accounts team.
- Provide administrative support to the Customer Service team by maintaining accurate apartment status updates throughout the sales process using Salesforce and ensuring key trackers remain up to date.
- Raise and process purchase orders on behalf of the Customer Service and Sales teams, supporting the efficient operation of procurement processes.
- Assist with additional administrative tasks as required by the Customer Service team, contributing to the smooth day-to-day running of departmental operations.
PERSON SPECIFICATION

- Have exceptional organisational skills and attention to detail with the ability to manage multiple tasks at once, meet deadlines, and keep systems and processes in excellent order.
- Communicate clearly and confidently, both in writing and verbally. Be comfortable liaising with internal teams, suppliers, and external stakeholders, and able to do so with professionalism and warmth.
- Have had administrative experience, ideally within the property sector or a fast-paced, professional services environment. Experience handling billing or working with utility suppliers would be a strong advantage.
- Confident working with systems such as Microsoft Office, Salesforce, and property management tools like Yardi and quick to learn new software.
- Be proactive and solutions-focused, always looking for ways to streamline tasks, resolve issues, and make day-to-day processes more efficient.
- A reliable and collaborative team player who enjoys contributing to a fast-paced, dynamic team and thrives in a structured, task-oriented role.
