Job Overview
The post holder will provide effective, efficient and professional support to the Facilities Management (FM) Team and the clinical Teams under their direct responsibility. This will include the day to day management of Patient Support Team (PST) staff in order to provide a high quality and professional cleaning and patient and product movement services in line with Trust operational requirements.
The post holder will be based primarily in Wards and Departments and be responsible for the effective resourcing of the Patient Support Teams both at horizontal, vertical levels and retained estate with direct support from the Duty FM Managers.
The role requires that the post holder will need to work effectively in close collaboration with Clinical Staff, the FM Helpdesk and Duty Facilities Managers in order to deliver and sustain exceptional patient support related standards.
Main duties of the job
- Responsible for the day to day control, monitoring, and supervision of all cleaning tasks and schedules within designated areas in alignment to Service Level Agreements and NHS Cleaning Regulations.
- Deliver effective management to PST Team Members in order to support FM Duty Managers to deliver an efficient and cost effective service in line with local operational budgets and Service Level Agreements.
- Contribute in the preparation and supervision of shift rotas in accordance with budget and SLA’s through discussion with Duty Facilities Managers and the central administration team
- To receive reactive tasks via mobile communication tools during your shift and to liaise with all available FM / PST resources in order to deliver completion in line with agreed KPI’s and SLA’s
- Ensure full FM service coverage in relation to staffing numbers and quality of work at horizontal level and escalate any concerns to Duty Manager
- Liaise with other Team Leaders to cover any gaps in service as appropriate
- Delegate and prioritise tasks to PST Team members on a daily basis

Detailed Job Description And Main Responsibilities
- Assist the Duty FM Manager to deliver tool box talks and other communication and training media to the PST Teams as required
- To hold daily shift hand over briefings with PST Team Members in order to ensure effective and constant communications relating to service requirements and other productivity and operational issues
- To demonstrate a full understanding of Service Levels Agreements for all designated areas of responsibility and to ensure delivery of these through appropriate support, resourcing and daily operational management
- Ensure improvements are achieved in reducing Hospital Acquired Infections (HCAI’s) through due diligence of PST Team Members and by maintaining excellent standards of cleanliness in accordance with training
- Ensure and manage the appropriate use of PPE by PST Team members
- Responsible for carrying out annual appraisals of PST Team Members through collaboration and feedback with clinical colleagues as appropriate
- Liaise regularly with the Clinical Site Team as commensurate to the role.
- Act as a communication link daily between FM staff and clinical staff to ensure that both parties are kept up to date with relevant and key operational information e.g. during infection cleans etc.
- Responsible for completing , verifying and forwarding any Accident and Incident Reports forms (AIMS) to Duty FM Manager as necessary
- Responsible for assisting in the delivery of appropriate risk assessments and standard operating procedures in line with operational practises and needs
- To carry out any operational tasks as required on occasion to ensure full service delivery
- Sign off annual leave requests and obtain final agreement from Duty FM Manager
- Ensure PAR levels for stock and consumables are rotated and maintained in line with operational need
- Carry out duties in accordance with the Departmental Health & Safety Policy, the Health & Safety at Work Act and the Departmental Written Systems of Work
- Report any accidents/dangerous occurrences to the patient support team leaders /manager and participate in the completion of necessary accident form paperwork
- To be a role model and reflect and promote the values of the Trust in all activities
- To carry out any other duties commensurate with the post as directed by the FM Management Team
- To be flexible and able to be included with Team Leader job rotation
