The Vacancy
We are looking to recruit an experienced secretary to provide high quality secretarial and administrative support within one of our Actuarial teams in the
Glasgow office on a
full time or part time basis. Working closely with team members, the successful candidate will provide a range of support to the team and will also liaise closely with other secretaries across the Practice.
Key Responsibilities Will Include
- Responding to all meeting requests and arranging necessary resources.
- Collating material for internal and external meetings.
- Preparing agendas, correspondence and presentations.
- Note taking, typing and producing documentation as requested.
- Maintaining electronic and paper based client files.
- Arranging travel and accommodation requirements, producing itineraries fully as required.
- Proactively producing and retaining records of expenses.
- Processing time recording and billing.
- Distributing and reviewing client correspondence, answering calls, processing messages/actions.
- Sending client correspondence where required.
- Supporting the team with all administrative matters and providing Front of House cover as required.
- Supporting other secretarial staff within the firm together with ad hoc secretarial duties.
- Adhering to the firm’s Information Security standards, policies and procedures.
Qualifications
Skills and Qualifications Required
- Educated to GCSE/Scottish Standard Grade in English, or with equivalent experience.
- In possession of a recognised qualification or relevant experience.
Skills
- Relevant experience within a secretarial support, administrative or similar environment.
- Fully proficient in relevant Microsoft applications.
- Able to mentor and support less experienced colleagues.
- Understanding of best practice within an office environment.
- Appreciation of the firm and our market place.
