JOB TITLE: TECHNICAL ASSISTANT
Key Responsibilities
- The below is an outline of key duties and accountabilities, rather than an exclusive or exhaustive list of responsibilities. The post holder is expected to undertake any tasks which may reasonably be expected within the scope of the position.
- Resourcing & Onboarding.
- Coordinate onboarding processes for new personnel, ensuring all documentation, inductions, IT, and system access are completed efficiently.
- Liaise with HR and Head of Disciplines to ensure accurate tracking of certifications, training records, and competency matrices.
- Support projects personnel with training course identification and booking arrangements.
- Assist in the development and refinement of internal systems and templates used for onboarding and resource tracking.
- Coordinate offboarding to ensure timely deactivation of access, return of assets, and completion of exit procedures.
- Data Analysis & Performance Management.
- Assist in preparing monthly performance packs and running performance meetings across the client portfolio.
- Compile and analyse data to support continuous improvement and strategic decision-making.
- Contribute to the development of digital tools and workflows (PBMS) for performance and resource data management.
- Utilise Power BI to maintain interactive dashboards and visual reports, enabling real-time insights into project and resource performance.
- Management Team Support.
- Provide holistic business support including expenses, invoice payments, filing, contact database management, arranging meetings and hospitality, travel, and other general admin tasks.
- Provide technical support to project managers, engineers, and department heads as needed.
- Support the management team with scheduling, meeting coordination, and preparation of briefing materials and communications.
- Participate in management team meetings, capturing action items and supporting follow-up activities.
- Assist in the preparation of presentations, reports, and documentation for management reviews and client meetings.
- Help coordinate logistics for management site visits, audits, and stakeholder engagements.
- Support the management team in the preparation of bids and tenders, including gathering inputs and formatting documentation.
- The postholder is expected to adhere to the Golden Rules of Safety (transitioning to ‘The 9 Lifesaving Rules in 2020) and the Petrofac Values.
Essential Qualifications And Skills
- University degree or equivalent level preferable.
- Attention to detail; efficient and highly organised; pro-active self-starter and a team player.
- Excellent problem-solving skills.
- Excellent interpersonal, written and verbal communication skills with the ability to communicate at all levels and between different cultures.
- Ability to build relationships at all levels, internally and externally, demonstrating confidence, professionalism and respect.
- Ability to prioritise workload and manage deadlines to optimise value of Management time; proven organisational and forward planning skills.
- Innovative, constantly seeking to improve ways of working to increase efficiency and effectiveness.
- Experienced in dealing with senior executives in a corporate environment and coping with changing requests.
- Ability to maintain confidentiality in all aspects of work and handle sensitive information.
- Ability to demonstrate sound, measured judgement and initiative to address sometimes complex, ad-hoc issues that interrupt routine schedules.
- Positive attitude; proven ability to work well under pressure.
- Fluent with Microsoft Office especially Outlook, PowerPoint, Excel, etc.
- Proven experience of supporting senior executives.
- Global travel and diary management experience.
- Experience with working in different time zones.
