Veterinary Purchasing Support Assistant to join our Hospital Support Team and Purchasing Department in a key supportive role.
Position Summary:
This part-time position plays a vital role in ensuring the smooth operation of our hospital by assisting with procurement, inventory control, dispensary support, administrative tasks, and the maintenance of staff communal areas.
This will enable the clinical team to deliver outstanding care to our patients and a professional experience to our clients, our staff and visitors to the hospital. It will require you to work closely with the purchasing team regarding goods delivered and distribution around the hospital.
Key Responsibilities:
- Purchasing & Stock Duties:
- Assist with ordering and purchasing non-clinical goods and consumables to include stationary and janitorial supplies, clinical record forms, staff uniform in line with group purchasing policies, ensuring value for money and sufficient stocks are provided to meet the needs of the business.
- Assist in receiving and checking in deliveries for the hospital, accurately verify goods received against the delivery note and report and/or manage errors in a timely manner.
- Distribute supplies throughout the hospital and ensure correct stock rotation.
- Maintain accurate stock records and assist in quarterly stocktakes.
- Provide additional cover for the clinical purchasing team during absences.
- Administrative Responsibilities:
- Scan and upload hospital records onto the practice management system (PMS).
- Update the hospital purchase order system and log all incoming orders on the PMS.
- Ensure documentation and data entry is accurate and up to date.
- Facility Support:
- Maintain cleanliness and order in hospital staff common rooms and kitchen areas.
- Replenish hospital wide nonclinical consumables.
- Dispensary & Operational Support:
- Support the dispensary team with inventory organisation, administrative tasks and general assistance.
Development Opportunity
After 12 months in the role, we would consider supporting further clinical development which could enable a greater involvement in the handling of veterinary medicines and dispensary operations.
Ideal Candidate Profile / Person Specification:
- Experience in purchasing, stock control, or administrative roles is beneficial, a background in the veterinary or pharmacy profession would be an advantage.
- Strong organisational skills and keen attention to detail.
- Confident using computers; experience with inventory or practice management systems is a plus.
- Physically able to manage stock tasks, including lifting and moving supplies.
- Team-oriented with a proactive and adaptable approach.
- Comfortable working in a clinical veterinary environment.
Valid UK driving license would be advantageous due to location, there is a local bus service within 15 minutes’ walk from the hospital.
Working Hours:
Part-Time: 27.5 hours per week
Schedule: Monday to Friday (approximately 5.5 hours per day)
