What To Expect
We are seeking a dynamic Workplace Experience professional to oversee the daily operations of our London office and play a key role in its ongoing growth and development. In this role, you will not only support our local team but also collaborate with colleagues across Braze to drive global workplace operations initiatives.
The London Workplace Experience team will consist of a Workplace Experience Receptionist, a Workplace Experience Specialist (this role), and a Senior Workplace Experience Specialist, who serves as the site lead. This position sits within the People Team and reports to the Workplace Experience Regional Manager for EMEA.
Braze is a fast-paced, rapidly growing company, and we need a self-starter who exercises sound judgment, takes initiative, and proactively enhances the employee experience. You’ll maintain a strong pulse on the needs of our London employees and be adaptable to evolving global conditions and workplace dynamics.
This role will be required to be in-office 5 days per week.
What You’ll Do
- Support day-to-day operations of the London office, acting as the first responder for maintenance issues, event logistics, and workplace service tickets via Jira - all with a strong customer-first mindset.
- Keep things running smoothly by managing the post room, locker assignments, and core workplace programs like in-office catering, dog policy, and signage standards.
- Create a standout first impression by maintaining a warm, well-organised reception area and providing daily coverage that reflects Braze’s hospitality standards.
- Uphold office standards through daily walkarounds - flagging issues, ensuring safety, and taking pride in a clean, well-presented workspace.
- Manage office access and security, including issuing badges, handling access requests, and working closely with building security teams.
- Deliver memorable in-office experiences, collaborating with the Employee Experience team on local events like anniversaries, mixers, and ERG activations.
- Support hybrid working through smart desk management and collaboration with the global Workplace Experience team.
- Maintain strong cross-functional relationships with teams like IT, Finance, and Employee Experience - acting as a go-to partner for all things workplace.
- Be a data-driven partner to local leadership - keeping a pulse on evolving needs and helping shape the future of the London office.
- Track budgets and vendor spend, supporting financial planning and procurement processes with attention to detail.
- Keep Envoy updated for seamless visitor and vendor management.
- Support policy and process development, contributing to global workplace strategies, especially around hybrid work.
- Serve as secondary liaison with building management, ensuring smooth coordination and fast issue resolution.
- Manage meeting room bookings and logistics for client meetings and internal events.
- Own local comms, including weekly office updates to keep the London team informed and engaged.
- Bring fresh ideas and improvements, always looking for ways to elevate the workplace experience and enhance how the London office operates.
Who You Are
- 1-2 years of experience in Workplace role
- Experience in change management, administration and vendor management
- Experience working with building management; union building experience a plus
- Demonstrated success in a fast-paced, rapidly growing organisation with an ability to manage competing priorities
- Experience working in offices and workplace experience for a hybrid workforce, delivering creative solutions to engage a distributed workforce
- Data-driven with a mindset of continual improvement
- Demonstrated success in building strong relationships cross-functionally
- A strong communicator, keeping teams and stakeholders informed and up to date
- Passion for best-in-class workplace experience and customer service
- Proactive and self-motivated with the ability to set own priorities with minimal supervision; experience having remote manager a plus
- A creative problem-solver, bringing innovative ideas and solutions to the table
- A sharp eye for detail and a sense of office pride
- An awesome can-do attitude - no task is too big or too small
- Ability to physically stand, bend, squat, and lift up to 25 to 30 pounds
- Familiar with Mac computer and GSuite
